Our company is currently experiencing rapid growth and we are seeking a motivated and detail oriented individual to take on the Executive Assistant position. This individual will report directly to the Chief of Staff and work independently to manage various tasks and projects from conception to completion. The ideal individual will effectively exercise good judgment in a professional atmosphere, with strong written and verbal communication, administrative, and organizational skills and the ability to maintain a realistic balance among multiple priorities.
DUTIES & RESPONSIBILITIES:
● Efficiently manage a broad variety of administrative tasks, including an active calendar of appointments, compiling documents as requested for meetings, composing and preparing correspondence, arranging complex and detailed travel plans, itineraries, and agendas
● Research, prioritize, and follow up on incoming issues and concerns addressed to the COS, and determine appropriate course of action, referral, or response
● Work closely and effectively with the COS to keep them well informed of upcoming commitments and responsibilities, following up appropriately
● Successfully completes critical aspects of deliverables with a hands-on approach, including drafting acknowledgement letters, personal correspondence, and other tasks that facilitate the COS's responsibilities
● Prioritizes conflicting needs; handle matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures
● Provides a smooth communication between the COS and internal departments, demonstrating leadership, trust and support with the company
QUALIFICATIONS:
● Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point, InDesign)
● Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail
● Very strong interpersonal skills and the ability to build relationships with stakeholders, including staff and external representatives
● Expert level written and verbal communication skills
● Demonstrated proactive approaches to problem-solving with strong decision-making capability
● Highly resourceful team-player, with the ability to also be extremely effective independently
● Proven ability to handle confidential information with discretion, be adaptable to various responsibilities, and demonstrate the highest level of customer/client service
● Forward looking thinker, who actively seeks opportunities and proposes solutions
● Must have five years of experience as an executive assistant
Salary : $70,000 - $90,000
