We are seeking a dedicated Executive Assistant to our CEO at our Support Office located in Evanston, IL The Executive Assistant will work with the CEO t o help achieve the company vision and supporting strategies and assuring that the company's image as an ethical and high-quality provider of health services is maintained.

The  Executive Assistant  to the CEO, will provide administrative support, working independently to assist the CEO with communications, correspondence, time management / planning, travel arrangements, and other administrative duties as needed.

Executive Assistants must have the following :

At least two years’ experience providing administrative support in a health care related field..

  • Superior organizational skills with strong attention to detail, ability to multi-task, and excellent follow-through.
  • Ability to anticipate needs to successfully support busy senior leaders.
  • Proficiency in Microsoft Outlook, Excel, PowerPoint, and Word.
  • How you will make an impact :

  • Answer and screen all incoming calls, emails, and voice mail for the CEO.
  • Address and resolve various community / resident issues as appropriate, with minimal direction from the Executive Director. Escalate or refer issues to the appropriate person as needed.
  • Acts as a liaison between Executive Director and personnel, outside companies, and residents
  • Manage the calendar of the CEO, scheduling meetings and conferences, and handle shifting priorities and conflicts as they arise.
  • Process departmental mail and ensure that appropriate follow-up and prioritization occurs on all other correspondence.
  • Maintain files and data storage.
  • Set up conferences and meeting rooms as needed.
  • Prepare and type the minutes of staff meetings and maintain intra- and inter-departmental communications.
  • Gather, maintain, and send timesheets for all department personnel.
  • Coordinate travel itineraries, including air and ground transportation and hotel accommodations.
  • Process expense reports.
  • Other duties as directed by the CEO.
