Job Summary
Provides excellent customer service and general HR support to the Community. Conducts and assists with HR projects and general office work.
Essential Functions
Accounts Receivable-
- Collect all payments
- 5th of each month follow up with all unpaid Residents. Call every 5 days thereafter. The goal is to have all residents paid by the 15th of each month. Bill late fees when applicable.
- Update the Resident Rent Roster regularly
- Deposit all checks same day (Update Deposit Sheet and email Regional Operations Manager when deposits have been completed.)
- Email ROM with status of Resident (If they expire, or if they add or delete a personal care service, or if they pay a deposit to move in as well as the date that they move in as well as all charges)
- Contact Case Managers of Medicaid Residents at the time of move in
- Update pet records quarterly
- Report all Outstanding Vendors Invoices to ROM
- Ensure any changes to patient liability are given to ROM
Accounts Payable-
- Collect and scan all bills to Regional Operations Manager
- Pay activity performers same day by check (Email ROM Check number, what it's for and amount the same day)
- Take all invoices to Standup for the department head to review and ok prior to sending to ROM
- Manage Receptionist Position
- If receptionist is not in, please answer the phone within 3 rings. (When you go to lunch please inform Activities to be your backup)
- Filter phone calls to the appropriate location by discovery
- Walk ins/ family members please direct them to the proper Department Head or location
Human Resources-
- Setup & complete initial interviews with department heads from really account
- Coordinates and processes new hire paperwork including background checks and new hire forms. (EX 1-9 Compliance)
- Schedule new hires orientation
- Ensure completion of termination paperwork and inform ROM of changes to employment list.
- Setup All Staff Mandatory Meetings w/Don and Attend
- Time Clock adjustments as needed
- Name Badges and key cards
- Update Employee Name Roster and online calendar with anniversaries, birthdays and evaluations
- Ensure that we are compliant with State
- Function as a liaison between vendors and employees advising employees on eligibility, coverage and other benefit matters.
- Unemployment and workers compensation
- Fill out new resident paperwork
Side Notes:
Part time employees do not receive benefits
Healthcare is offered after 90-day review
New hires that are termed or quit within their 90-day window will be fined for the cost of their new hire process- this must be signed during New Hire Orientation

Education and Experience
High school diploma or general education degree (GED); and minimum of one-year related experience and/or training; or equivalent combination of education and experience.
