What are the responsibilities and job description for the Juvenile/Probate Court Bookkeeper position at Fairfield County Ohio?
Under the direct supervision of the Deputy Director of Finance and Business, the Bookkeeper is responsible for the accounting, payable and receivable, to also include payroll, timely issuance of any/all payments/obligations, and financial recordkeeping duties for the Juvenile/Probate Court and Guardianship Services Board. The primary purpose of the Bookkeeper is to analyze, code, prepare, and reconcile expense reports, invoices, vouchers, accounts, remittances, and other related materials for daily banking purposes. This position also monitors a variety of fiscal management and control activities, including preparation and submission of resolutions, and implementing accounting or auditing procedures. The Bookkeeper also prepares and maintains various financial records and reports.

- Prepare invoices, vouchers, accounts, remittances, and/or purchase orders.
- Facilitate purchases, expenditures, and payments.
- Contribute feedback for policies related to various accounts payable and receivable processes.
- Pay invoices, record purchases and expenditures, and reconcile accounts.
- Maintain ledger sheets for payment/asset tracking (examples may include payroll, inventory, counsel, and other).
- Balance Bank statements; runs case management reports for accounts and funds.
- Post checks, make daily deposits and pay-in monies.
- Maintain Court inventory of supplies, cell phones, and assets.
- Conduct physical and/or virtual inventory on an annual basis.
- Assist with assignment of Court-appointed counsel and pay counsel invoices.
- Generate fiscal reports from ERP and case management system.
- Verify payroll and accrual report detail for accuracy.
- Analyze, prepare, and reconcile expense reports.
- Maintain accurate financial records.
- Answer phones and return messages; greet and assist the public in a professional manner.
- Assist with clerical functions; open, sort, and distribute mail, retrieve records, and file.
- Shall assist and serve as Clerk and perform all associated Clerk duties and responsibilities when/if needed.
- Complete any other duties as assigned by the Deputy Director of Finance and Business and other members of the management team.
- High School Diploma or GED; preference given for an associate degree in business or 2 years of the equivalent bookkeeping/ accounting experience
- Excellent mathematical, financial, and accounting skills; ability to use an adding machine and reconcile accounts; proficient in Excel, Microsoft Teams, SharePoint and other applicable business and accounting programs
