The Project Coordinator will work with the project management team to help facilitate the design team projects for internal and external clients. They will be responsible for coordinating the deliverables by maintaining the schedule. This position involves coordinating with a multidisciplinary team to track the different work streams and document all processes as well as maintain document control and file/asset organization. The project coordinator collaborates closely with creative, engineering, and production teams to ensure the seamless integration of design intent and technical concerns, contributing to the successful execution of theme park, attraction, and entertainment projects.

- Responsible for coordinating with internal and external teams to ensure that information passes smoothly from different disciplines and teams as well as ensuring that all teams are equipped with the information that they need to complete their work per the schedule.
- Recording and discovering inefficiencies in team management and project work streams to bring to the Project Management team and aid in resolving issues.
- Developing workstreams that are efficient and effective for the entire project team.
- Deliverable tracking and organization
- Accountable for driving execution and delivery of projects in all project phases.
- Responding to client communications including gathering information to respond to requests and questions.
- Demonstrate a strong understanding and take responsibility for scope of work, schedule, expected outcomes, business impact, resource level requirements, and development of work streams.
- Documentation
- Recording and taking notes during client and external team meetings, submitting minutes and deliverables for approval, and distributing data to the appropriate parties.
- Capture and organize all important project assets on the server and distribute them to all key stakeholders to ensure clear and consistent communication.
- Communication and Scheduling
- Responsible for cross-discipline communication of information and creating team meetings that are organized, efficient, and concise.
- Communication to design team members that are not involved in the project to the status of the project to ensure that all team members are aware of their potential future involvement and maintain a collaborative culture in the team.
- Adhering to Client communication protocol and aiding team in adhering to all Client mandated standards.
- Must have or be able to quickly acquire knowledge of company structure (mission, goals, and objectives), and policies and procedures.
