As an Administrative Assistant, you’ll play a key role in supporting our senior leadership team, ensuring smooth operations across the organization. You’ll assist our Chief Operations Officer (COO) and Chief Medical Officer (CMO) with a variety of tasks, from scheduling and communication to project management and office coordination.
What You’ll Do:
- Provide Executive Support:
Manage the calendars for the COO and CMO, schedule meetings, make travel arrangements, and prepare important documents, presentations, and reports. You’ll also help maintain corporate records and assist with grant preparation and submission.
- Coordinate Office Operations:
Help maintain office supplies and equipment, ensure meeting rooms are scheduled and properly prepared, and coordinate logistics for events and conferences. You’ll also assist with on-call scheduling and after-hours service coordination.
- Manage Projects:
Assist or take the lead on specific projects assigned by senior management. You’ll track deadlines, deliverables, and collaborate with teams to make sure projects are completed on time and to high standards.
- Financial & Budgeting Support:
Assist with accounts payable by processing purchase orders, managing invoices, and handling expense reports for senior executives. You’ll also help with organizing financial documentation and supporting general budgeting processes.
- Team and Office Support:
Guide junior administrative staff and support onboarding and training activities. You'll help maintain a smooth workflow in daily office operations by handling general administrative duties and providing guidance when needed.
What We’re Looking For:
- High school diploma or GED (Associate’s or Bachelor’s preferred).
- 1 years of administrative experience in a fast-paced, high-volume environment.
- Strong organizational, multitasking, and communication skills.
- Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to handle confidential information with discretion.
- Excellent customer service, problem-solving, and attention to detail.

Pay: $21.55 - $31.65 per hour
