Job Overview
We are seeking an experienced Finance & Operations Director to oversee financial management, operational administration, human resources support, IT and data management, and provide board leadership support. This role ensures the organization’s financial health, compliance, and operational efficiency while maintaining strong systems for financial tracking, technology infrastructure, and human resource functions.
Key Responsibilities
- Financial Management
- Prepare and oversee financial reporting, analyses, and statements on a monthly, quarterly, and annual basis.
- Prepare monthly and annual cash flow projections and monitor financial health.
- Manage grant tracking and reporting, ensuring compliance with all funding requirements.
- Develop and monitor the annual budget by program and funding source, forecasting revenue and expenses.
- Supervise payroll, bookkeeping, accounts payable/receivable, and financial procedures.
- Maintain and enhance systems for financial and donor data sharing.
- Oversee independent audits, tax filings, and compliance with all financial regulations.
Operations & Administration
- Manage agency investments, insurance policies, leases, and contracts.
- Oversee facilities management, including budget oversight, repairs, and improvements.
- Ensure compliance with HIPAA, workplace safety regulations, and other legal requirements.
Human Resources
Administer employee salaries and benefits while ensuring compliance with labor laws.
- Manage personnel processes, including position descriptions, job postings, and job offers.
- Collaborate with leadership on HR policies and benefits strategies.
- Provide financial insights and analysis to the Personnel Committee.
IT & Data Management
- Supervise IT operations, including workstation functionality, user account management, network oversight, and website maintenance.
- Lead IT troubleshooting, cybersecurity, and software management efforts.
- Administer and customize the CIS case management CRM, ensuring effective user management and report generation.
Board & Leadership Support
- Prepare financial and operational reports for the Executive Director and Board.
- Attend board meetings as needed and contribute to strategic planning discussions.
Qualifications
- Bachelor’s degree in finance, business administration, accounting, or a related field required.
- Minimum of 5 years of experience in financial management, operations, or a related role.
- Strong knowledge of nonprofit fund accounting, financial management, including grants and compliance.
- Experience in HR administration, IT oversight, and data management preferred.
- Proficiency with QuickBooks financial software, payroll software, spreadsheets, Microsoft 365, and CRM systems.
- Strong leadership abilities with experience managing a team.
- Exceptional communication skills, both written and verbal.
