What are the responsibilities and job description for the Finance Assistant position at Family & Children's Service of Ithaca?
The Finance Assistant supports the clerical and administrative functions of the Finance department which specifically includes supporting functions such as payroll processing and accounts payable. This multi-faceted role requires a significant amount of attention to detail, demands a high level of accuracy, and manages the data entry and reporting of all financial transactions. The Finance Assistant also has additional responsibilities supporting Continuing and Community Education programming and the Employee Assistance Program.
Responsibilities:
- Reports directly to the Finance Manager regarding all financial reporting including accounts payable, accounts receivable, payroll, general ledger and financial reporting;
- Records all financial transactions into the general ledger software;
- Responsible for monthly reconciliation of the general ledger and the credit card ledger;
- Processes employee payroll and employee benefit payments, and ensures all voluntary and involuntary payroll withholdings are made timely and with accuracy;
- Responsible for the timely payment of all invoices and debt payments;
- Processes Employee Assistance Program (EAP) contract renewals/invoices; produces utilization reports;
- Processes and maintains records of all continuing education courses and attendees;
- Administers external communications of all agency employment opportunities and notifications;
- Maintains digital and hard copies of employee personnel files;
- Responsible for maintaining optimal Finance department and organizational operations by following established policies and procedures, and reporting compliance issues, as applicable;
- Responsible for protecting F&CS’ values by keeping debt information confidential;
- Responsible for adhering to professional standards, Finance best practices, F&CS policies and procedures, federal, state, and local requirements, and OMH standards;
- Responsible for reporting any misuse of funds, any post due invoices and/or any unethical reporting practices to the Executive Director, Director of Finance/Finance Manager, or another Director;
- Responsible for training and supporting employees in their use of the Paylocity payroll program and how to enter time cards and requests for time off;
- Additional assignments and tasks may be delegated at the discretion of the Executive Director and/or the Director of Finance/Finance Manager.

- Prior experience working in accounting and/or bookkeeping including accounts payable, accounts receivable, payroll processing, and general ledger and financial reporting is required;
- Mastery of QuickBooks and/or other accounting software is preferred;
- Displays a clear understanding of confidentiality and professionalism standards within the workplace;
- Associate degree in Finance, or related field, is preferred but not required.
