We seek a highly organized and detail-oriented individual to join our team as Office Administrator. This role will involve a blend of administrative tasks, office management, and financial record-keeping duties. The ideal candidate will have experience in both office administration and bookkeeping, with the ability to handle multiple responsibilities while ensuring smooth operations.
Key Responsibilities:
- Oversees and administers general office operations.
- Prepare and maintain organized office records and filing systems for both financial and administrative documents.
- Handle correspondence (emails, phone calls, mail) and direct inquiries to the appropriate individual.
- Schedule meetings and appointments, and coordinate FPBC events.
- Support staff with administrative tasks such as data entry, filing, and document management.
- Troubleshoot minor IT or facilities issues and liaise with external service providers when necessary.
- Manages supply levels and ordering.
- Coordinate internal and external communication, including newsletters, announcements, and social media posts.
- Acknowledge all incoming donations.
- Maintain fundraising event records and participate in fundraising activities to include the annual Gala and third-party events.
- Orient, schedule and direct office volunteers.
- Process volunteer background checks.
- Maintain affiliate records according to National retention schedule.
- Provide administrative support to the Board of Trustees, as required.
- Ensure a clean and organized work environment at the Day Center.
Bookkeeping Duties:
- Maintain accurate accounts payable and receivable records.
- Process invoices, payments, and receipts in a timely manner.
- Keep record of incoming donations.
- Track grant requests and awards.
- Prepare deposits.
- Monthly reconciliation of bank statements and credit card accounts.
- Assist in preparing financial statements, reports, and budgets.
- Track and manage expenses and ensure that financial records comply with company policies.
- Assist with tax preparation and other financial reporting requirements as needed.
Qualifications:
- High school diploma or equivalent; Associate’s or Bachelor’s degree in accounting, finance, business administration, or related field preferred.
- Proven experience as an office administrator with bookkeeping responsibility (2 years preferred).
- Strong knowledge of bookkeeping principles and practices.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and accounting software (e.g., QuickBooks or similar).
- Well organized with the ability to multitask and prioritize.
- Strong attention to detail and problem-solving skills.
- Excellent communication skills, both written and verbal. Ability to communicate effectively with a diverse population.
- Ability to work independently and as part of a team.
Family Promise of Beaufort County (FPBC) is a 501(c)(3) nonprofit organization that unites with the community to provide prevention, diversion, and temporary non-emergency housing to families with children experiencing housing instability.
