COMPENSATION: Competitive, commensurate with experience
SCHEDULE: Monday thru Friday, 8:00 a.m. to 5 p.m. (some flexibility)
PTO: Vacation and sick leave accrue for the first hour worked

Position Responsibilities
Billing & Accounts Receivable Management
- Prepare and submit reimbursement requests for grants, government contracts, and other funding sources.
- Track outstanding receivables and follow up on overdue reimbursements to ensure timely collection.
- Work closely with funders to resolve billed request discrepancies and revise billed requests when necessary.
- Maintain accurate records of all incoming funds from all sources.
Grant & Contract Compliance
- Ensure that all billed expenses align with grant purposes and allowable cost as defined in award contracts.
- Monitor and track grant spending to avoid overspending or underutilization of awarded funds.
- Collaborate with program staff to ensure expenses are categorized correctly before billing.
- Stay updated on federal, state, and local grant and contract compliance requirements.
Team Collaboration & Process Improvement
- Work with the Accounts Payable Specialist to align expenses and reimbursement requests appropriately.
- Coordinate with program managers to ensure funding sources are properly utilized and billed.
- Identify and implement process improvements to streamline billing and collection workflows.
- Support the finance team in budgeting and forecasting by providing accounts receivable insights.
Qualifications & Skills
Required:
- Associate’s or Bachelor’s degree in Accounting, Business Administration, or a related field.
- 2 years of experience in accounts receivable, billing specialist, or a similar financial/data role.
- Proficiency in QuickBooks and Google Suite (Sheets, Docs, Calendar).
- Familiarity with cross-platform data handling and software integrations.
- Strong analytical skills, attention to detail, and ability to meet deadlines.
- Clear and compassionate communicator, both written and verbal.
- Flexible and adaptable, with the ability to prioritize in a dynamic environment and shift gears across tasks and teams.
Preferred:
- Experience with grant billing requests or working with government funding agencies.
- Familiarity with nonprofit accounting, grant contracts, and nonprofit financial processes.
- Knowledge of federal grant compliance guidelines (COC, CHG/SDG, HUD, etc.).

- This position will be completed under the following conditions.
- Located on site at the Family Promise Administrative Offices (primarily indoors in an office and/or shelter environment)
- May be chaotic, busy and loud at times
- Use of cleaning chemicals
- Although this position has limited client interaction, client population may include persons involved in gangs, with substance abuse concerns, and homelessness
