Farm Wisconsin Discovery Center exists to connect visitors’ curiosity to the miracle of farming. We are a small team doing many great things, and need a highly organized individual to help stay on top of our commitments—especially to our donors.
Job Summary:
We are seeking a motivated and detail-oriented Administrative Assistant to join our team at Farm Wisconsin Discovery Center. The Administrative Assistant will play a crucial role in ensuring the smooth and efficient execution of fundraising and operations initiatives by providing administrative support to the Executive Director, assisting in communication, data management and reporting, and handling day-to-day office functions.
As a non-profit organization, we are fortunate to have a supportive volunteer corps that loves the mission, provides helping hands, and contributes to the welcoming atmosphere. The Administrative Assistant will collaborate with volunteers for various projects.
Key Responsibilities:
· Office Administration:
· Answer and direct phone calls, emails, and other forms of communication.
· Maintain filing systems (digital and paper).
· Prepare and proofread correspondence, reports, and documents.
· Assist in scheduling meetings and coordinating events.
· Customer Service:
· Provide a welcoming experience for all guests.
· Provide product/service information and educate customers on company offerings.
· Resolve customer issues by identifying the problem and providing appropriate solutions.
· Promote Farm Wisconsin non-profit membership, and support Farm Wisconsin advocacy work.
· Data Management:
· Maintain donor, volunteer, and client databases.
· Assist with data entry and ensure accuracy in records.
· Support in the preparation and mailing of donor communications.
· Financial and Reporting Support:
· Assist with preparing and organizing financial records (e.g., receipts, invoices).
· Support in tracking donations and funding reports.
· Help with budget tracking and expense reporting.
· Human Resources Support:
· Assist the Executive Director in payroll processing and paid time off tracking.
· Facilitate orientation for new hires.
· General Office Support:
· Order office supplies and manage inventory.
· Assist in maintaining office equipment and ensure everything is in working order.
· Troubleshoot technology problems and coordinate with outside vendors for service/repairs.
· Provide general support to other teams and assist with special projects as needed.
Qualifications:
· High school diploma or equivalent; some college coursework in administration or related fields preferred.
· Previous experience in administrative support, preferably in a non-profit setting, is a plus.
· Strong organizational and time-management skills.
· Excellent written and verbal communication skills.
· Ability to maintain confidentiality and handle sensitive information.
· Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with database management systems. Experience with Quickbooks Online a plus.
· Ability to work independently and as part of a team in a fast-paced environment.

Work Environment:
