Job Overview:
We are seeking an experienced Accounting Firm Administrative Assistant to join our team. This highly organized person will play a critical role in ensuring the smooth and efficient operation of our office, supporting our team of accounting professionals, and delivering outstanding service to our clients.
Key Responsibilities:
- Office Administration: Oversee daily office operations including: handling incoming calls and emails, processing incoming and outgoing mail and maintaining office supplies.
- Client Interaction: Serve as the primary point of contact for clients, greeting visitors, addressing inquiries, and present a professional and welcoming environment.
- Accounting & Tax Support: Assist with basic accounting tasks, such as accounts payable/receivable, payroll processing and expense tracking, in collaboration with our accounting team. Manage initial digital tax return process and assist with the packaging of finalized tax forms.
- Process Improvement: Document, streamline and manage policies and procedures for all administrative processes.
Qualifications:
- Bachelor's degree in Business Administration, Accounting, or related field preferred.
- Proven experience (3 years) in office management or administrative role, preferably in a professional financial/accounting services environment.
- Strong organizational skills and attention to detail, with the ability to prioritize tasks and manage multiple responsibilities effectively.
- Excellent communication and interpersonal skills, with the ability to interact professionally with clients, colleagues, and vendors.
- High proficiency in Microsoft Office suite, Adobe and other office software applications.
- Knowledge of basic accounting principles and experience with accounting software (e.g., QuickBooks) is a plus.
- Ability to maintain confidentiality and handle sensitive information with discretion.
