Position Summary

The position of Office Administrator will assist in multiple areas of Fatbeam’s overall office administration duties. This position will support with administrative duties across all departments within our company. This position is required to be in the office Monday – Friday, 8am-4pmPST. This position will work out of our Coeur d’Alene, Idaho office and will report to our CFO.

Position Responsibilities (including but not limited to)

  • Receptionist Duties such as taking calls, sorting and distributing mail, first point of contact in the front office, control door system, greeting customers, sending/receiving packages, assure the front office space looks presentable, manage storage room which includes office supplies, etc. the overall office “go-to-person”.
  • Assist with overall office needs, such as keeping inventory stocked in the office and kitchen areas, managing PPE products, coordinate with building contacts when needed, kitchen cleanup, along with any other office tasks as they may arise.
  • Assist with Fatbeams Culture Team, along with other departments when needed.
  • Assist Accounting where needed, such as with regulatory reporting, etc.
  • Works with the Sales team on bids and customer proposals, including but not limited to, putting together RFP’s, creating quotes, and logging information into CRM tool.
  • Overall administrator to CRM tool, including but not limited to, maintaining customer records both hard copy and cloud-based database, tracking quotes, processing signed contracts to ensure a smooth installation process, administrating all changes within our CRM tool; adds/deletions, training, running all sales reports and pulling reports as requested by sales or leadership.
  • Assist in creating power point presentations throughout any department as needed.
  • Assist with multiple projects from any department with the company.
  • Complete expense reports for monthly leadership (CEO, COO, VP and Director levels).
  • Book travel and accommodations as needed and directed by leadership.
  • May be involved in assisting with promotional opportunities, such as promoting company events.

Education/Certifications

· High school diploma or equivalent

· Microsoft Office productivity suite proficiency is required (Power Point, Excel, Word, and Outlook)

· Adobe and Canva software knowledge/proficiency

· CRM/Salesforce knowledge/proficiency

· A valid driver’s license required

Experience/Minimum Requirements

· Be highly detail oriented

· Previous experience in the telecom industry is a plus (but not required)

· Be willing to learn new skills and work in a highly collaborative environment

· Can multitask and manage several projects at one time

· Be able to solve problems by meeting strict deadlines

· Microsoft Office productivity suite proficiency is required (Power Point, Excel, Word, and Outlook)

· Knowledge of Salesforce/CRM is a plus but not required (but a definite bonus)

· Team oriented, with the willingness to assist all members of the company when needed

· Excellent customer service skills internally and externally are a must (must stay calm under pressure)!

· The ability to pass a state & federal background criminal check

· 3 years working in an office environment in an administrative position is a plus (but not required)

Additional information

Fatbeam requires a background check and the acceptance of a basic non-compete documents for all employees. The background check takes 3-5 days. This offer would be pending upon the results of the background check. We will also need to confirm that your driving record will not prohibit us from adding you to our insurance policy for company vehicles. Lastly, to protect our intellectual property, confidential information, and client relationships, it is our policy to require that employees execute an Employee Conduct Agreement governing these matters. Your execution of this agreement is also a condition of this offer of employment. Your employment with Fatbeam is "at will", which means that you have the right to leave your employment with us at any time while Fatbeam also reserves the right to end the employment relationship at any time.
