The Office Administrator is responsible for general administration tasks within the office environment. They play a primary role in ensuring that the day-to-day office administrative functions are coordinated to achieve a high level of productivity at their location. FELS currently has an open Office Administrator position in our Delaware County center, K’tonton Early Learning Center.

As an Office Administrator at FELS, you will:

  • Provide assistance in maintaining a quality childcare program which reflects the philosophy of FELS and adheres to the parameters of state and federal requirements.
  • Greet and direct all visitors to the center.
  • Answer and screen all incoming telephone calls, route calls to appropriate individuals, provide routine information, and take messages as directed.
  • Maintain lists of all in-service, allergy and medicine, and children who cannot be photographed.
  • Create staff ID badges and update staff bios.
  • Enter enrollment requests into CRM.
  • Maintain center calendar, update meetings. and appointments.
  • Coordinate Center special events with teachers and assist with center-wide events.
  • Provide early or late administrative coverage, as needed.
  • Provide support to the Parents’ Association.
  • Assist with the center’s inventory and ordering of supplies.
  • Maintain and prepare rosters and Alpha list.
  • Create new child files and maintain all children’s files in accordance with FELS and DHS regulations.
  • For our Pre-K Counts and Head Start Programs, maintain attendance, maintain required paperwork, track dental and other compliance requirements.
  • Maintain caregiver assignments list.
  • Oversee digital camera usage (sign-out sheets, downloading, printing of photos).
  • Submit maintenance requests.
  • Oversee Injury and Accident report process.
  • Maintaining meal sheets and parent sign in/out sheets.
  • Manage all aspects of ELRC paperwork (i.e. attendance, absence letters, subsidy ending letters, etc.).
  • Distribute “No Admit” letters.
  • Manage daily diaper logs.
  • Maintain and track physicals for all children, including those for summer camp.
  • Abide by any and all additional guidelines for child care, child education, welfare, health, etc. as instructed by FELS.

What are an Office Administrator’s skills and qualifications?

  • Must be at least 18 years of age.
  • Minimum of three (3) years administrative assistant or related experience.
  • Annual physical examination and biennial TB (Mantoux) test.
  • Above-average problem-solving skills including the ability to identify and respond to a crisis immediately.
  • Ability to speak, hear, read, write, and generally understand English sufficiently.
  • Proficient in the Microsoft Office including Word, Excel, PowerPoint & Outlook.
  • Must be able to occasionally work extended hours including evenings and weekends.
  • Visual acuity of at least 20/40 (with corrected lenses if needed) to supervise children individually and in groups of up to 25, maintain accurate records, read necessary program materials, verify identification of escorts, etc.

Pay: $15.00 - $17.00 per hour
