Summary of Position :

  • Reporting to the Associate Dean of Student Life the David L. Eisler Center Reservation Specialist is the primary point of contact for all event reservations within the David L. Eisler Center.
  • This position will coordinate venue reservations for meetings, events, and programs hosted by student organizations, university departments, and external groups, as well as handle the collection and processing of reservations revenue.
  • Additionally, this position will be responsible for ensuring exemplary customer service, knowledgeable of all office operations, solution focused results, and oversight of student employees.
  • The David L. Eisler Center Reservation Specialist is a fully in-person position.

Required Education :

  • Satisfactory completion of two years college or equivalent such as applicable military or business school training, or equivalent work experience.
  • Any equivalent combination of education, training and experience, which provide the required knowledge, abilities and skills may be considered.
  • Required Work Experience :

  • Two years of full-time event planning, conference services, accounting, and / or office experience with supervisory responsibilities.
  • Any equivalent combination of education, training, and experience that provides the required knowledge, skills, and abilities may be considered.

  • Experience with specialized software programs and / or coordinating meetings and / or conferences.
  • Essential Duties / Responsibilities :

  • Coordinate, schedule, and assist with campus, community, and private events designed to support students, faculty, and staff through the programming experience.
  • Utilize and assist in maintaining the reservation system calendar, Mazevo Event software, and Event Draw diagram software.
  • Develop, implement and / or revise bookkeeping, recordkeeping, accounting, and related office procedures.
  • Collaborate with campus partners in the planning and execution of events primarily in the David L. Eisler Center and occasionally in other spaces across campus buildings, outdoor venues, and auxiliary spaces.
  • Demonstrates an understanding of diversity, equity, and inclusion, especially in working relationships with students, faculty, staff and community members.
  • Process invoices, billing ,and payments, for the David L. Eisler Center.
  • Serve as lead staff member to hire, train, schedule, supervise, and maintain payroll for departmental student employees.
  • Monitor, maintain, and exercise functional control over specialized and / or complex records and accounts.
  • Perform any / all duties as defined in the Account Clerk Levels I and II and Secretary Levels I and II position description.
  • Review and verifies documentation for completeness and compliance with policies and procedures.
  • Responsible for maintaining the confidentiality of designated information and performing duties in compliance with applicable policies and procedures.
  • Attend meetings and conferences in absence of supervisor.
  • Provide back-up assistance for other clerical positions.
  • Reports to immediate supervisor as assigned.
  • Coordinate multiple tasks on a daily basis with limited supervision.
  • Use computer software such as spreadsheets, database and word processing.
  • Support, promote, and develop University student enrollment and retention initiatives.
  • Any other duties assigned within the position classification area.
  • Marginal Duties / Responsibilities :

  • May be assigned to attend meetings and conferences in absence of supervisor or as a University representative.
  • May be assigned to support high capacity events held David L. Eisler Center.
  • Assist with special projects and tasks as assigned.
  • Skills and Abilities :

  • Experience working directly with people from diverse racial, ethnic, and socioeconomic backgrounds.
  • Communicate effectively with students, staff, business representatives, and other constituents.
  • Meet deadlines and demonstrate excellent organization and communication skills.
  • Research, collect, analyze and produce reports.
  • Ability to operate all standard office machinery and equipment.
