Job Title: Temporary Bookkeeper (FMLA Coverage – 1 Month)
Location: Hybrid – Available in-office 2 half-days per week in Port Angeles
Duration: immediate– May 31, 2025
Reports To: Director of Financial Strategy
Classification: Temporary, Hourly
Position Summary:
We are seeking a highly skilled and proactive Bookkeeper to join our team on a temporary basis. This individual will be responsible for managing all daily financial operations, ensuring timely reconciliation and reporting. In addition to regular bookkeeping duties, this role will be instrumental in preparing for our upcoming annual audit, and in documenting internal financial workflows.
This role is ideal for someone with strong accounting fundamentals, audit prep experience, and a systems-minded approach to financial operations.
Core Responsibilities:
Daily and Weekly Bookkeeping Operations:
- Record and classify all financial transactions using accrual-based accounting
- Maintain and reconcile general ledger accounts
- Process and code vendor invoices in accordance with chart of accounts
- Prepare and process weekly check runs, including ACH, credit card, and physical checks
- Reconcile bank statements weekly and monthly
- Reconcile company credit card transactions to supporting documentation
- Manage petty cash reconciliation and replenishment
- Process employee expense reimbursements with appropriate backup and approvals
- Track and apply prepaid expenses monthly
- Enter and reconcile donor and earned income records
- Prepare and make bank deposits bi-weekly, ensuring all checks and cash are properly documented and deposited securely
Month-End & Year-End Close Responsibilities:
- Prepare monthly financial close including:
- Journal entries (accruals, deferrals, allocations, etc.)
- Bank and credit card reconciliations
- Balance sheet reconciliations
- Maintain and reconcile sub-ledgers: A/R, A/P, prepaid expenses, deferred revenue
- Assist with monthly internal financial reports
Audit Preparation & Support:
In consultation with Director of Financial Strategy, prepare and finalize audit schedules including:
- Trial balance with supporting reconciliations
- Year-end A/P and A/R aging reports
- Credit card and petty cash schedules
- Prepaid expenses and fixed assets
- Deferred revenue and restricted funds
- Organize and label digital files for document requests (bank statements, invoices, contracts, etc.)
QUALIFICATIONS:
The Bookkeeper must be enthusiastic and detail-oriented, deal well with time constraints and deadlines, have excellent interpersonal skills, and be highly organized.
The ideal candidate will also have these specific skills:
- 4 years’ experience in bookkeeping
- A thorough knowledge of basic accounting procedures
- A basic knowledge of non-profit accounting
- In-depth knowledge of the QuickBooks system.
- Strong computer skills including MS Word and Excel
WORK HOURS:
- This is a part-time, temporary position that requires 15-20 hrs. per week to be put in during regular office hours, Monday- Friday 9 a.m. to 5 p.m.
Hourly rate is commensurate with experience.
