What are the responsibilities and job description for the Financial Secretary position at Finance?
Overall Purpose
To assist with ensuring effective and accurate financial management of the school district. To perform routine clerical and secretarial duties in an efficient and accurate manner.
Essential Functions
- Records receipt of all incoming checks and ACH deposits into the financial accounting software.
- Prepares the weekly bank deposit.
- Enters edits and posts journal entries, as needed.
- Processes daily budget transfers in the financial accounting software.
- System Administrator for the MyPaymentsPlus software for processing student school payments.
- Monitors, processes and helps with financial institution transactions.
- Prepares the monthly invoice for school’s Pupil Activity Fund expenditures issued from General Operating cash.
- System Administrator for the purchase card software.
- Review school bank reconciliations monthly for accuracy.
- Monitors and audits the school-based Pupil Activity Funds for compliance with General Accepted Accounting Principles (GAAP).
- Responsible for Records Retention for the Finance Department.
- Schedules meetings, conferences and training for the Finance staff.
- Performs secretarial duties for the Chief Financial Officer.
- Train’s school bookkeepers to us the financial accounting software.
- Works with external auditors in preparing pre-audit activities.
- Responsible for maintaining equipment in good-order and office supplies for the Finance Department.
- Directs in-coming and out-going mail.
- Reviews and maintains employee leave records for the Finance staff.
- Responds to requests for information from outside the department.
- Performs other tasks consistent with the goals and objectives of this position.
Requirements
Five (5) years secretarial/clerical training experience in office setting
Accounting experience preferred
Proficient in Microsoft Office software
Physical Requirements
Exerting up to 20 pounds of force occasionally, and/or up to 10 pounds of force as frequently as needed to move objects.
Education/Training
Minimum of High School Diploma
Bachelor’s Degree in Business Administration/Accounting/Finance preferred.
