A well known client is seeking a detail-oriented and organized Administrative Assistant to join their team. The ideal candidate will provide essential support to ensure the smooth operation of daily activities, assisting with various administrative tasks. This role requires excellent communication skills, strong attention to detail, and the ability to manage multiple priorities effectively.
Job Duties:
- Accurately document meeting discussions, decisions, and action items to ensure clarity and accountability among team members.
- Coordinate and schedule meetings across various departments, ensuring that all participants are informed and prepared. Manage calendar conflicts and make necessary adjustments as required.
- Organize travel arrangements for team members, including transportation and accommodations, while adhering to budget guidelines and company policies.
- Gather and compile data to create comprehensive reports that support decision-making and strategic planning. Ensure all reports are accurate and submitted on time.
- Maintain and organize files, documents, and records in both physical and digital formats to ensure easy access and compliance with company policies.
- Monitor team assignments and deadlines, providing updates to ensure tasks are completed efficiently and on schedule.
- Manage incoming emails, prioritizing important messages and forwarding them to appropriate team members as needed to facilitate prompt responses.
Qualifications:
- Associate’s degree (Bachelors is required to go permanent with client)
- Previous experience in an administrative role is a plus.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
- Strong organizational and time management skills with a keen attention to detail.
- Excellent written and verbal communication skills.
- Ability to work independently and as part of a team in a fast-paced environment.
- Flexibility and willingness to take on additional responsibilities and tasks as directed by management to support team operations.
Compensation & Benefits:
- Pay: $18-$22hr
- Contract to hire
