Job Overview:
The Bookkeeper will be responsible for maintaining accurate financial records, processing transactions, managing accounts payable and receivable, reconciling accounts, and assisting with financial reporting. This role is critical to the financial health of the company, ensuring compliance with accounting best practices and supporting management with accurate financial data.
The ideal candidate is highly organized, analytical, and detail-oriented, with strong bookkeeping experience in a service-based industry.
Key Responsibilities:
RECORD TRANSACTIONS
- Accurately logging all financial transactions, including customer payments, vendor invoices, and company expenses in the accounting system.
- Assigning correct general ledger (GL) codes to transactions to ensure proper categorization.
- Monitoring incoming and outgoing transactions to prevent errors or fraudulent activity.
BANK/CREDIT CARD RECONCILIATIONS
- Comparing bank and credit card statements with internal records to ensure all transactions are accounted for.
- Investigating any discrepancies and resolving issues by communicating with banks, vendors, or internal teams.
ACCOUNTS PAYABLE
- Reviewing and entering bills from suppliers and ensuring accurate documentation.
- Scheduling and processing payments via checks, ACH, or wire transfers.
- Tracking outstanding vendor payments and ensuring timely remittance to avoid late fees or service disruptions.
- Managing vendor relationships by handling inquiries, negotiating payment terms, and verifying payment receipts.
ACCOUNTS RECEIVABLE/COLLECTIONS
- Generating and issuing invoices to customers in a timely manner.
- Monitoring aging reports and following up on overdue payments with structured collection efforts.
- Applying customer payments accurately to outstanding invoices and handling disputes related to billing discrepancies.
- Coordinating with the departments to resolve invoicing issues and confirm client payment terms.
SALES TAX & COMPLIANCE
- Calculating and preparing sales tax reports for local, state, and federal compliance.
- Submitting tax payments on time to avoid penalties.
- Keeping track of changing tax laws and ensuring compliance with industry-specific tax regulations.
BUDGET MONITORING AND EXPENSE CONTROL
- Tracking company expenses against budget allocations.
- Flagging potential overspending or discrepancies in cost allocations.
PROCESS IMPROVEMENTS/INTERNAL CONTROLS
- Establishing policies and procedures to prevent financial mismanagement or fraud.
- Implementing new accounting software, automation tools, or efficiency improvements.
Qualifications & Requirements:
- 3 years of bookkeeping experience, preferably in a service-based industry
- PROFICIENCY IN MICROSOFT BUSINESS CENTRAL IS PREFERRED
- Strong knowledge of accounts payable, accounts receivable, reconciliations, and financial reporting.
- Strong attention to detail and ability to manage multiple priorities effectively
- Excellent communication and problem-solving skills.
- Proficiency in Microsoft Office (Excel, Word, Outlook)
- Ability to work independently and collaborate with upper management

Pay: $50,000.00 - $75,000.00 per year
