Job Summary
We are seeking a highly organized and detail-oriented Office Assistant / Receptionist to join our team. The Office Assistant/Receptionist will be responsible for providing administrative support, coordinating projects, and managing multi-companies. The ideal candidate is self-motivated, a good communicator, have strong attention to detail, and able to handle multiple tasks simultaneously. Minimum of two years office experience required.
Duties and Responsibilities
- Coordinate and manage various projects, ensuring timely completion and adherence to deadlines. Proficient in clerical duties such as typing, filing, and data entry.
- Great customer service skills & Excellent telephone etiquette - Perform clerical duties such as answering phone calls, responding to emails, and maintaining files.
- Meet and greet customers - Some sales required.
- Collection calling (multiple companies).
- Credit estimates, invoices, and monthly statements - daily and monthly mailing required.
- Process customer exempt forms and letters (yearly).
- Ability to meet deadlines & Update and enter time sensitive account paperwork.
- Proficient with Microsoft Office, Excel, 10 key, and Quickbooks a plus.
- Maintain confidentiality and professionalism.
- Must be organized, motivated and be able to work independently.
- Strong math skills for posting payments.
- Responsible for keeping your office area neat and clean.
- Provide general administrative support to the team as needed.
