Position Summary
Our organization is seeking a highly organized and proactive Executive Assistant to provide essential support to our executive team. The ideal candidate will have excellent communication skills, a knack for handling multiple tasks efficiently, and a detail-oriented approach to ensure smooth daily operations. This role requires a reliable individual who can manage confidential information with discretion, handle frequent document editing, and aid in community and fundraising events.
Supervision
Reports directly to Executive Director and President & CEO. This position has no direct reports.
· Manage executive calendars, including scheduling meetings, appointments, and travel arrangements.
· Maintain company calendar and external events.
· Serve as the primary contact for internal and external inquiries, assisting with correspondence if needed
· Perform document editing and maintain organized records of correspondence and client information.
· Check and update calendars frequently, coordinating and following up on donor and community partners calls
· Respond promptly to emails and other inquiries, providing timely support for FISH clients and stakeholders.
· Support project coordination by tracking deadlines, deliverables, and progress updates.
· Organize and plan events, managing logistics to ensure successful execution.
· Establish and maintain relationships with various stakeholders throughout the islands raise awareness of FISH programs to potential clients, volunteers, and community partners.
· Maintain a positive agency image by being active and visible in the community and by working closely with other professional, civic and private organizations
· Maintain Brand Awareness, including proofreading and reviewing marketing material for accuracy and clarity before distribution.
· Utilize Google Workspace, Outlook, and FISH drive for document creation, data management, and communication
QUALIFICATIONS
· Proficiency in Google Workspace and Microsoft Office is essential.
· Excellent calendar management skills with the ability to prioritize tasks effectively.
· Experience in project coordination and event planning is an advantage.
· Strong attention to detail with exceptional proofreading skills.
· Ability to handle confidential information with integrity and professionalism.
Job Type: Full-time
Pay: $48,000.00 - $54,000.00 per year
