Creative Solutions in Healthcare is seeking a dedicated and detail-oriented Assistant Business Office Manager and a Receptionist to join our growing team! In this role, you will support the financial and administrative operations of the facility, ensuring accuracy, efficiency, and compliance. Success requires reliability, strong organizational skills, and the ability to work collaboratively in a dynamic environment while maintaining professionalism and composure.

Your Impact as an Assistant Business Office Manager/Receptionist

In this role, you will:

  • Support Financial Verification for Admissions: Help with financial verification and completing required paperwork for new admissions efficiently and accurately.
    • Manage Office Supplies: Order and maintain office supplies for all facilities on a monthly basis.
    • Handle Communication: Answer and direct all incoming calls and voicemails professionally and efficiently.
    • Oversee Office Equipment: Keep office copy machines and fax machines stocked with paper and replace toner and drums as needed.
    • Sort and Distribute Mail: Handle incoming mail and faxes, ensuring they reach the appropriate recipients.
    • Process Outgoing Mail: Ensure timely processing of outgoing mail, including faxes, FedEx, certified mail, and other special mail items.
    • Assist with Personnel File Compliance: Support the maintenance and organization of personnel files and I-9 files as directed.
    • Support Accounts Receivable Management: Assist in maintaining accurate documentation, sending collection letters, and following up on past-due receivables.
    • Assist in Billing Operations: Help compile and process monthly private billing, post and enter daily cash deposits, and verify financial information for new inquiries and admissions.
    • Process Claims: Support the processing of Medicare, MSP, Managed Care, and Primary Insurance claims, ensuring timely submissions and weekly follow-ups.
    • Maintain Resident Trust Funds: Assist in tracking and managing resident trust fund accounts in compliance with financial regulations.
    • Ensure Accurate Documentation: Help complete Medicare/HMO claims by the 5th of each month, bill hospice companies promptly, and manage daily deposits.
    • Communicate Professionally: Work closely with residents, families, staff, and external stakeholders to ensure smooth office operations.
    • Assist in Training and Support: Help train team members to meet the “3 Deep” backup requirement for office functions.
    • Participate in Interdisciplinary Meetings: Assist in reviewing admissions, discharges, and payer changes to maintain an accurate census and ensure smooth financial operations.
    • Perform Office Administrative Tasks: Manage mail distribution, update census and payer changes in PCC, and assist in adhering to collection policies.

  • Exhibits a genuine care for elderly and disabled individuals and a commitment to resident well-being.
  • Can comply with the Patient Bill of Rights, Employee Responsibilities, and safety policies and procedures.
  • Has excellent phone skills and the ability to manage a multi-line telephone system, including call transfers and voicemail.
  • Is highly organized and can accurately take messages and direct calls to the appropriate departments.
  • Maintains a professional demeanor and appearance at all times.
  • Can efficiently sort, distribute, and process incoming mail and faxes.
  • Is proficient in sending packages and mail through FedEx, USPS, Certified Mail, and other mailing services.
  • Has working knowledge of computers, 10-key, and office equipment.
  • Is proficient in word processing, spreadsheets, and other related computer programs.
  • Can effectively use internet and email systems for communication and coordination
