Job Description
The Position: Administrative Assistant
Reports to: Executive Director
FLSA (Fair Standards Act) Status: Full time; exempt salary
Salary Range: $35K- $40K depending on experience
The Organization:
The Five Star Center has over 45 years of dedicated service to older adults and adults with disabilities in St. Louis City.
Our Mission is “To promote, improve and protect the quality of life for older and disabled adults in the City of St. Louis, by providing transportation, nutritional services, and in-person activities, so they may live with dignity and respect.” We are the largest provider of these services in the City of St Louis and an important and integral part of Benton Park West and the surrounding neighborhoods.
Duties and Responsibilities:
- Use excellent organizational, communication, and planning skills to assist the executive director with the daily operations of the center.
- Answering phones, taking messages, and directing calls
- Scheduling appointments, meetings and travel arrangements
- Managing calendars and event schedules
- Handling incoming mail
- Maintaining databases and filing systems (including donor database)
- Drafting and editing emails, letters and other correspondence in a timely manner
- Provide basic book keeping assistance to the director
- Organize, maintain and purchase office, janitorial and kitchen supplies
- Facilitate communication between staff members and clients
- Prioritizing tasks and managing time effectively
- Run errands when needed
- Maintain a clean and organized workspace
- Assist Director of Client Engagement with volunteer management
- Coordinate and produce monthly newsletter
- Work using Microsoft, Google and QuickBooks
- Work reception desk when needed
- Other duties assigned by Executive Director
Requirements:
- BA/BS
- Experience and comfort with nonprofit organizations and working with older and differently abled adults
- Class E chauffer’s license is a plus
- Excellent verbal/written communication skills
- Ability to pass city, state, and federal background checks
- Ability to maintain a professional appearance and attitude
