We are seeking an organized and proactive Executive Administrative Assistant to provide high level administrative support to executives and senior leadership. We are seeking an organized and proactive Executive Administrative Assistant to provide high level administrative support to executives and senior leadership. Duties And Responsibilities
- Act as a point of contact among executives, employees, clients and other external partners.
- Welcomes visitors and identify the purpose of their visit before directing them to the appropriate department.
- Assist with meeting preparation: Board communication, preparation for Board meetings.
- Provides administrative assistance, such as writing and editing e-mails, drafting memos, and preparing communications on the executive’s behalf and taking minutes for various meetings.
- Assist HR Director with recruitment efforts, onboarding new employees, HRIS system, open enrollment and employee events and training programs.
- Maintains comprehensive and accurate records.
- Manages the executives’ calendar, including making appointments and prioritizing the most sensitive matters.
- Answers phone calls in a polite and professional manner.
- Screens and directs phone calls and distribute correspondence.
- Act as a point of contact among executives, employees, clients and other external partners.
- Performs minor accounting duties.
- Organize meetings, including scheduling, sending reminders, and organizing catering when necessary.
- Manage office, including ordering supplies, working with the property management company, managing copiers, distributing mail, procuring postage, answering the main line phone.
- Maintain control of our computer assets that are stored at the office, including tracking and shipping of equipment, as well as retrieving it when people leave Paramount. This would also include being main POC for IT vendors as “boots on the ground” at Emerson.
- Security badge system management for corporate office.
- Assist with travel arrangements as needed.
- Minimum 3 years’ work experience as an Executive Administrative Assistant
- Excellent MS Office knowledge
- Outstanding organizational, planning and time management skills
- Up to date with advancements in office software and applications
- High level verbal and written communication skills
