Job Type: Full-Time M-F 8-5 (On Call and Saturdays Required)
Job Summary:
We are seeking a detail-oriented and organized Office Administrator/Dispatcher to join our team at Fix It Services, a reputable plumbing company. The ideal candidate will have experience in office administration and dispatching, with excellent communication and multitasking skills. This role is essential in ensuring smooth daily operations by coordinating service calls, managing customer interactions, and supporting administrative tasks.
Key Responsibilities:
- Dispatching & Scheduling: Assign and schedule service calls to plumbing technicians efficiently.
- Customer Service: Answer phone calls, respond to customer inquiries, and provide appointment confirmations.
- Office Administration: Perform general administrative tasks, including data entry, filing, and document management.
- Billing & Invoicing: Assist with processing invoices, payments, and job-related documentation.
- Work Order Management: Track job progress, update records in the system, and ensure accurate technician reporting.
- Communication: Maintain clear communication between customers, technicians, and management.
- Inventory & Supply Management: Order office and plumbing supplies as needed.
- Other Duties: Assist with additional tasks as assigned to support the team.
Qualifications & Skills:
- Experience: Minimum of 2 years in an office administration role, preferably in a plumbing or service-based business.
- Dispatching Knowledge: Experience with scheduling service calls and dispatching technicians.
- Technical Skills: Proficient in office software (Microsoft Office, House Call Pro, or other dispatching software).
- Customer Service Skills: Strong verbal and written communication skills.
- Organization & Multitasking: Ability to prioritize tasks, manage multiple responsibilities, and work in a fast-paced environment.
- Problem-Solving: Quick thinking and ability to resolve scheduling conflicts efficiently.
