Primary Responsibilities
*Front Office/Call Center Manager*
- Oversees Front Office/Call Center, works with all staff as needed
- Reconciliation of daily journal and balance petty cash, and if needed prepare weekly bank deposit
- Answer phones and handle as needed. Third back up to Medical Receptionist I and II
- Check in/out patients. Third back up to Medical Receptionist I and II
- Maintains relationships within multi-specialty organizations as well as the hospital, outpatient surgery centers and surrounding medical community, share on call schedules for all clinics with hospital, etc.
- Oversee inventory and purchases of office supplies
- Evaluate organizational systems and make process improvement recommendations to ensure effective service delivery
- Supervise patient care services relative to medical records documentation, charting, filing, transcription, appointment scheduling, refunds, patient recalls and collections ensuring HIPAA compliance. Lead manager for front office duties.
- Dismisses patients from practice when necessary
- Work with physicians and managers to maintain efficiency and quality throughout the practice
- Works with direct reports to establish performance standards for work assignments, monitors work status and progress including goals and objectives
- Ensures quality of work performed by direct reports in area(s) of responsibility
- Available to gap fill and back up medical and clerical staff as office volume demands and dictates
- Receive and respond to all answering service electronic messages from patients timely
- Work with billing to monitor charges and payments and educate patients on billing policies and procedures
- Liaisons with patients, health care professionals and patient’s family members in a compassionate and kind manner
- Coordinate and participate in on-site special events such as Health Fairs and Meetings
- Develop staff through coaching, mentoring, training, and guidance
- Completes performance evaluations for direct reports on a timely basis
- Conducts disciplinary and termination meetings after consulting with Administration
- Assists all staff in the interpretation of policies and procedures
Knowledge, Skills and Qualifications
- eClinical Works knowledge
- Knowledge of current medical terminology in order to communicate with physicians, staff, and patients
- Strong proven leadership and communication skills
- Ability to read and interpret documents such as professional journals, safety rules, operating and maintenance instructions, procedure manuals and government regulations
- Ability to interact and communicate with a variety of people, both on a one-on-one basis and in meetings and group settings; must be able to relate to and work with ill, emotionally upset and sometimes hostile people
- Ability to anticipate and react calmly to emergency situations
- Ability to define problems, collect data, establish facts, and draw valid conclusions
- Ability to make independent decisions and delegate responsibility and duties
- Ability to follow direction
- Proficient computer skills, including working knowledge of Microsoft Office Suite, email systems, and web-based programs
- Ability to handle multiple tasks simultaneously
- Must Have High School Diploma or equivalent
