    Hours / Schedule : Full-time, flexible

    Job Type : Contract to Hire

    Location Requirements : M-TH on-site, Fridays remote

    Rate : $40-50 / hour based on experience.

    Job Description :  The Chief of Staff / Executive Administrative Assistant reports directly to the CEO / President and provides executive administrative support in a one-on-one working relationship with the CEO / President while providing support as needed for other senior leadership team members. Ideal candidate will be an experienced professional partner with a proven track record of consistently delivering exceptional administrative services / support. We are seeking someone who consistently embodies organization's mission, vision, and values; is a master of communication, customer service, planning, execution; is detailed oriented / organized, balances multiple priorities, and maintains confidentiality.

    Responsibilities :

    • Plans, communicates, coordinates, and executes the CEO / President's and other support persons’ schedules. Provides “gatekeeper” and “gateway” role, creating win-win situations for direct access to the CEO / President
    • Anticipates and successfully / timely completes deliverables which facilitates the CEO / President's ability to effectively lead
    • Creates presentations and other documents to support the CEO / President’s work, ensuring that those documents reflect the organization’s mission, vision, values, and commitment to an excellent work product
    • Uses exceptional communication capabilities to draft, edit, and finalize documents that accurately and professionally reflect organization's business operations
    • Provides support for the CFO and Chief Human Resources and Compliance Officer
    • Is professional in appearance, behavior, communication, performance, and presence
    • Demonstrates professional development / skills competency in all areas

      Maintains professional presence when representing organization; exhibits degree of professionalism consistent with standards in performance, behavior, and appearance.

    • Always maintains resident confidentiality and privacy according to policies and procedures; uses discretion when discussing confidential matters

    • Maintains positive working relationships with management and coworkers; willingly follows directions and requests as appropriate

    • Demonstrates a thorough knowledge of work assignments and performs in a manner to meet quality and timeliness objectives
    • Demonstrates knowledge and understanding of policies and procedures; seeks clarification or interpretation from appropriate supervisor when needed

    • Qualifications :

    • Bachelor's degree required
    • 5-10 years of high level and fast paced experience supporting C-Suite Executives
    • Proficiency in Microsoft Office (Outlook, Word, Excel, and PowerPoint) required, with experience in Adobe Acrobat, Visio, Project, and other board software preferred
    • Expert-level verbal and written communication skills
    • Strong organizational skills that reflect the ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail
    • Demonstrated proactive approach to problem-solving with strong decision-making capability
    • Emotional maturity
    • Highly resourceful team player, with the ability to also work independently
    • Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer service and response
    • Demonstrated ability to achieve high performance goals and meet deadlines in a fast-paced environment
