FSPA Administrative Coordinator
About the Opportunity
FIM is seeking an on-site, part-time FSPA Administrative Coordinator to support internal and external educational programs and FSPA events. Duties include managing various administrative and logistical tasks, scheduling instructors and facility space, program evaluation and reporting, program planning and development, and managing program equipment, supplies, and inventories.
This individual works closely with cross-functional teams of FSPA Departments, FIM Divisions, Community Partners, and Students to maintain & increase the positive impact and quality of FSPA programs and administration.
Specific Responsibilities and Qualifications
Responsibilities
- Create school calendar & terms; program plan with FSPA Director and admin staff.
- Oversee the creation of school catalogs with marketing, FSPA admin, and faculty.
- Approve, order, and prepare classroom materials while monitoring supply budgets.
- Track and provide enrollment and participation numbers for classes, concerts, and events.
- Program Evaluation – administer and collect program/class surveys. Compile and work with the FSPA team to analyze results. Collect evaluation data as needed for grants and reporting.
- Create flyers and programs with the Program Director for non-major FSPA events and performances.
- Provide varying levels of administrative support to FSPA events as essential for the success of various productions.
- Responsible for scheduling outreach instructors to partner sites, faculty school visits, community piano, and instrument playground
- Work with the FSPA Program Director to coordinate an internship/outreach instructor and alumni program with local universities and older FSPA students.
- Collection, administration, and compilation of evaluation forms/surveys and other reports as needed for grants.
- Record keeping/filing/document management or agreements, permission slips, and other event/program documentation
- Responsible for scheduling FSPA classes, events and programs on the master calendar
- Confirm room availability for other areas of FIM & Rentals; involvement in master calendar/scheduling process, shared building use and needs
- FSPA room assignments and schedules, practice rooms, reassigning rooms for special events.
- Coordinate building environment (including heating, cooling, and cleaning issues), access, room readiness (cleaning and arranging)
- Equipment inventory – manage and maintain overall inventory & repair of instruments, production equipment, classroom supplies, and office supplies.
- Arrange piano tunings
Other Responsibilities
- Represent FSPA at community events
- Provide support as needed for international exchanges
- Other duties as requested.
Qualifications
- A bachelor's degree in a related field is preferred.
- Ability to work with a diverse team of individuals.
- Two years of non-profit and/or community program and admin experience, preferably in the performing arts, preferred.
- Working knowledge of community arts education programs, grant reporting, community partnership programs, current teaching approaches, program creation, and nonprofit program management.
- Possess strong interpersonal communication skills, as well as strong oral and written communication skills.
- Display a self-motivated and positive attitude.
- Demonstrate the ability to maintain and be responsible with confidential and sensitive information.
Compensation and Benefits Information
- Part-time (20 hours per week) at $20.00 per hour.
