Job Title: Purchasing Coordinator

Position Summary
We are seeking a detail-oriented and proactive Purchaser to join our operations team. This role plays a critical part in ensuring timely and accurate procurement of flooring materials, vendor coordination, inventory oversight, and support for project teams. The ideal candidate will be highly organized, tech-savvy, and a strong communicator who thrives in a fast-paced environment and enjoys problem-solving and process improvement.
Key Responsibilities
1. Order Placement & Management
· Place and track purchase orders for flooring materials, adhesives, sundries, and tools based on project schedules
· Confirm product specifications, pricing, lead times, and delivery dates with vendors
· Open and manage job folders in QuickBooks; issue job numbers and maintain project purchasing documentation
· Coordinate pick-up or delivery of special-order items with the warehouse or third-party delivery services
2. Vendor Relationship Management
· Build and maintain strong vendor and distributor relationships
· Resolve issues related to backorders, delivery delays, substitutions, or product availability
· Distribute manufacturer memos, pricing updates, and important announcements to internal teams
3. Project & Sales Team Support
· Work closely with Account Managers, Estimators, and Project Managers to understand material needs and project timelines
· Coordinate special orders and align all purchases with submittals and project specifications
4. Inventory Oversight
· Coordinate with the Warehouse Manager to maintain optimal stock levels and minimize excess inventory
· Participate in inventory counts and support monthly cycle counts and valuation
· Review and process returned materials: determine credit eligibility and coordinate reuse or disposal
5. Cost & Vendor Performance Tracking
· Source competitive pricing and negotiate favorable terms when possible
· Maintain internal pricing folders and vendor contact databases
6. Systems & Documentation
· Enter and update POs in the company’s software systems
· Ensure accurate records for all material orders, delivery status, returns, and invoices
· Collaborate with accounting on invoice reconciliation and resolve discrepancies
7. Problem Solving & Process Improvement
· Resolve material-related issues quickly to prevent project delays
· Coordinate last-minute orders or substitutions when needed
· Identify and recommend improvements to purchasing workflows, systems, or communication
Qualifications
· At least 2 years prior purchasing or procurement experience (flooring or construction industry preferred)
· Strong attention to detail, organization, and follow-through
· Excellent communication, vendor management, and negotiation skills
· Ability to manage multiple priorities and deadlines in a fast-paced environment
· Proficiency in Microsoft Office (Excel, Outlook) and comfort with ERP/project management systems (QuickBooks experience a plus)
· Strong teamwork ethic and a proactive problem-solver
· Ability to lift up to 25 lbs and assist in warehouse duties when needed
· Forklift experience a plus
· Clean DMV record – able to pass MVR check
· Able to pass E-Verify background check
· General IT knowledge or comfort with technology is a plus
· Knowledge of commercial flooring products and applications a plus
· Experience working with subcontractors or field teams a plus
Compensation & Benefits
· Salary: $68,640–$75,000 annually, depending on experience
