About the Role:
In this pivotal role, you will be the cornerstone of executive support and project management within our healthcare organization. As the Company Administrator, you will blend high-level administrative expertise with project oversight to drive organizational success. Your role is crucial in ensuring that the CEO’s time is optimized and that projects are managed effectively.
You will provide critical support to the CEO, managing his calendar with precision to ensure all meetings, appointments, and travel arrangements are well-coordinated. Your responsibilities will include prioritizing engagements, resolving scheduling conflicts, and ensuring that commitments align with strategic priorities. Additionally, you will handle and screen the CEO’s email and phone communications, draft responses, and maintain professional and effective communication with stakeholders. Organizing high-level meetings, preparing detailed agendas, taking comprehensive minutes, and following up on action items will be key aspects of your role. You will also plan and coordinate special events, ensuring smooth execution.
In your project management capacity, you will oversee a variety of critical projects from conception through completion. This includes managing project timelines, coordinating with various teams, and ensuring that all goals are met on time and within budget. You will prepare and deliver regular status reports on project progress, performance metrics, and key achievements, providing the CEO with actionable insights to support informed decision-making. Identifying and implementing improvements in project workflows and operational processes will also be a significant part of your role, aimed at enhancing efficiency and effectiveness.
Your administrative duties will involve accurate maintenance and updating of company records, files, and databases, along with ensuring compliance with data protection regulations and internal policies. You will also assist with financial administration tasks such as budget tracking, invoice processing, and expense reporting, collaborating with the finance team to ensure accurate and timely financial operations.
