Job Purpose: The Mortgage Documentation Specialist works closely with Mortgage Loan Officers in all locations to ensure that all loans originated are compliant and closed in a timely manner. This position will coordinate all steps of the loan closing process from processing to post-closing including the servicing of all loans sold to the secondary market, in-house ARM loans, and construction loans.

This is an on-site role based in our New Richmond, WI branch location. Hours for this position are Monday- Friday ranging between 8:00am-5:00pm.

Duties and responsibilities of the Mortgage Documentation Specialist include:

  • Ensure the timely and accurate packaging of all loans originated by FNC Bank Mortgage Loan Officers.
  • Gather documentation from the applicant and third parties.
  • Prepare the file for underwriting. Input proper loan information into Encompass for processing, orders, and coordinating loan documents.
  • Responsible for ensuring that all loan documentation for credit package is complete, accurately verified, and complies with company policy and compliance.
  • Monitor the loan life cycle timeline. Provide updates to the Mortgage Loan Officer to ensure contract compliance and deadlines are met.
  • May produce documents needed for the closing process.
  • Send and receive wires for funding loans.
  • Service all secondary market loans, escrow accounts, and in-house Adjustable-Rate Mortgages for all branch locations.
  • Accurately input newly closed loans into Jack Henry/Silverlake for servicing.
  • Submit proper documents for recording and releasing liens.
  • Scan documentation for electronic storage per record retention requirements.
  • Conduct collection/loss mitigation efforts by following investor guidelines as well as federal and state laws.
  • Monitor, update, and process loan payments for escrowed taxes, insurance, loan modifications, draw requests, and payoffs.
  • Perform escrow analysis.
  • Responsible for reconciliation/balancing of loan General Ledger accounts.
  • Mail out packages and notices as needed.
  • Provide outstanding customer service for external and internal customers in all areas of mortgage loan operations.
  • Collaborate with department staff. Work as a team and individually to accomplish goals and communicate needs.
  • Assist with the creation and updating of procedural guides, as needed.
  • Perform additional job-related duties as assigned or required.

Eligibility Requirements (Minimum Qualifications):

  • High School diploma or GED
  • A minimum of one year of experience in a financial institution role, (preferably Mortgage), or equivalent combination of education and related work experience in financial services or retail/business banking desired. Accounting experience is preferred.
  • Experience or background with the following areas is desired: reviewing and understanding loan documents, and Freddie Mac.

Software Operating Requirements Include:

  • Encompass LOS experience preferred.
  • Familiarity with Windows and Microsoft Office Suite products (Outlook, Teams, Excel, Word)
  • Core Bank Software (Jack Henry)
