This individual will support the day-to-day operations of the office and provide assistance to staff by ensuring efficient communication, organization, coordination, and customer service.
**Qualifications:**
- High school diploma or equivalent; additional qualifications in Office Administration or related field is a plus.
- Proven experience in a similar administrative or billing role.
- Proficiency in Microsoft Office Suite and Google Workspace.
- Ability to prioritize tasks, manage time, and work efficiently in a fast-paced environment.

**Daily Tasks and Responsibilities:**
**Front Desk:**
- Answering incoming calls and directing them to the appropriate person or department.
- Greeting visitors and ensuring they are properly assisted or directed.
- Managing calendars and scheduling appointments as needed.
**Files:**
- Organizing and maintaining both physical and electronic files.
- Retrieving documents and information as requested in a timely manner.
**Reports:**
- Assisting in the preparation of documents, spreadsheets, and presentations.
- Ensuring accuracy and completeness of all reports and materials.
- Review referral databases and provide updates when available.
**Communication:**
- Drafting and composing professional messages, emails, and memos.
- Forwarding P.R.P referral forms to medical staff and filing in the office.
- Collecting returning referrals from medical staff.
- Collecting consent forms and assessments.
- Facilitating communication between staff members and external parties.
**Meetings:**
- Scheduling meetings and appointments for team members.
- Planning and coordinating meeting logistics, including room setup and equipment.
- Recording meeting agendas and minutes accurately.
**Travel:**
- Coordinating travel arrangements for employees, including flights, accommodations, and transportation.
- Ensuring travel itineraries are well-organized and communicated effectively.
**Customer Service:**
- Providing exceptional customer service to all visitors, clients, and employees.
- Addressing inquiries and resolving issues in a professional and courteous manner.
**Weekly Meeting/Report Out:**
- Reviewing progress made on key projects, tasks, and initiatives.
- Discussing achievements, challenges, and progress.
- Reviewing action items, tasks assigned, and deadlines.
**Other:**
- Ordering office supplies and maintaining inventory levels.
- Liaising with vendors and service providers to ensure smooth operations.
- Maintaining a tidy and organized office environment.
- Performing other duties as assigned by management.
