Compensation: $24.73 per hour
Schedule: Monday – Friday, 20 hours/week, evenings 5:00 pm - 9:00 pm

We are looking for an Administrative Assistant who will perform administrative tasks including managing phones and emails scheduling appointments and planning meetings. You will support our QCH team members and ensure our day-to-day office operations run smoothly. Overall duties include providing support to our managers and employees, assisting with daily office needs, and being in alignment with our overall agency’s administrative activities.
You are required to be able to use your organizational skills to manage your office space and your time as you will collaborate with clients, vendors, and colleagues in a fast-paced environment. We also expect you to have excellent verbal and written communication skills, exemplifying a professional demeanor, communicating effectively, and providing a welcoming environment. The Senior Administrative Assistant specializes in daily operations, ensuring offices and facilities function at an optimal level in accordance with QCH’s mission, vision, and value.
Primary Responsibilities:
- Ensure timely responsiveness to communication, scheduling, and all other operational duties of the office
- Review and organize regular correspondence٫ like account statements and official communication
- Review and optimize office policies and procedures, particularly documentation and filing system
- Provide administrative support to QCH executive and program staff as requested by the supervisor
- Provide reception services as needed; meet visitors and provide general support to them
- Prepare communications, such as memos, emails, invoices, reports, and other correspondence
- Write and edit documents from letters to reports and instructional documents
- Assist with office management tasks, such as ordering supplies, managing inventory, etc.
- Support review and coding of invoices Other tasks as assigned.
Qualifications:

- Significant experience with office management and daily operations
- Good practical experience with MS Office
- Excellent knowledge of office equipment٫ like printers and fax machines
- Strong verbal and written communication skills
- Strong organizational and time-management skills
- High School degree; additional qualification as a personal assistant or secretary will be a bonus
