This position is Hybrid Remote Work. The duties of this position are performed remotely as well as at our central office in Salem. In addition, the ability to report to Salem is required when business or operational needs are dependent on onsite activities.

What we are looking for:
As the Administrative Specialist 2, you will support The Forest Resources Division efforts by aiding Program Managers, Leads, and Field Coordinators with Division work. You will assist with the administration of the Urban and Community Forestry and Federal Forest Restoration Programs. Duties include:
- Prepare and coordinate interagency agreements, contracts, requests for proposals, and other agreements with Tribal, federal, state, and local governmental agencies with lead guidance from the UCF Grant Administrator.
- Monitor online grant management system activities to ensure compliance with Federal and State laws.
- Act as a liaison, with lead guidance from the UCF Grant Administrator, for the agency, contractors, other state agencies and the public to ensure eligibility and satisfactory performance, and that the needs of all involved parties are met.
- Conduct research to help ensure continuous improvement in assigned program area, evaluates information and prepares reports which include a thorough analysis of subject matter and recommendations for future action.
- Interpret rules and regulations, narrative and statistical data, and supervisory instructions to build reports, monitor compliance, resolve procedural problems, or determine an appropriate course of action.
- Interpret and apply state laws, policies, and recognized best practices for ongoing training and professional development of staff in the Forest Resource Division.
- Supports program managers by providing recommendations and planning coordination for the implementation and continuous improvement of new staff onboarding processes.
Minimum Qualifications
Three years of secretarial or administrative support experience that includes coordinating office procedures, preparing narrative and statistical reports, and administrative data collection and analysis
OR
An associate degree in general office occupations and two years of secretarial or administrative support experience that includes coordinating office procedures, preparing narrative and statistical reports, and administrative data collection and analysis

OR
An equivalent combination of education and experience.
Note: Driver’s License Check - This position requires the operation of a state vehicle for the purpose of conducting official State business. If your license is from outside Oregon, you must submit at least a three-year court/DMV printout. If you have an Oregon driver’s license, a record check will be conducted on the top candidate to ensure a valid license and acceptable driving record.

- Skill in interpreting laws, rules, policies and procedures and applying interpretations to specific situations.
- Skill in performing technical or administrative support functions requiring independent judgment, decision making and problem resolution.
- Skill in effectively communicating orally to explain decisions, services, or programs, or to resolve problems.
- Ability to input data from established program systems into templated agreements, contracts, and requisition documents.
- Ability to utilize computerized system for data entry, tracking approvals, and reviewing data for accuracy.
- Ability to schedule and coordinate resources, travel details, catering, booking venue, note taking etc.
