Forrest Solutions is seeking a dedicated and proactive hospitality focused Hospitality Concierge to join our team. The ideal candidate will uphold our company’s values while working closely with the Office Manager to ensure daily office operations run smoothly. This role is essential in maintaining the appearance and efficiency of the office, providing support for meetings, catering, and events, and ensuring that the workspace is welcoming and well-stocked.

Key Responsibilities:

Catering & Meetings:

  • Prepare for and set up meetings, ensuring all requirements are met.
  • Communicate with meeting organizers to clarify details.
  • Set up catering as requested, including chafing dishes if needed.
  • Collaborate with the team to ensure seamless communication and event preparation.

Office Supplies (Including Kitchen, Snacks, Sundries):

  • Monitor and maintain inventory for office supplies, coffee bar, café items, and snacks.
  • Order and restock office snacks, beverages, and restroom supplies.
  • Ensure that common areas, kitchens, and workstations are stocked and organized.

Mail Management:

  • Process incoming and outgoing mail, including USPS, FedEx, and UPS packages.
  • Manage deliveries and notify recipients as necessary.
  • Handle Certified Mail and, on occasion, make trips to the post office.

Maintain Common Areas:

  • Keep café, tables, and common areas clean throughout the day.
  • Restock Kleenex, paper, and pens in offices and workstations.
  • Maintain cleanliness of workspaces, phone booths, and other shared areas.

Conference Room Maintenance:

  • Ensure conference rooms are cleaned and reset after meetings.
  • Check the reservation schedule throughout the day to attend to rooms post-meetings.
  • Maintain clean screens and replenish conference room supplies.
  • Report any outages or areas needing attention to the team via Teams Channel.

Qualifications:

  • Experience is planning/servicing catering events
  • Proficient in MS Office (Word, Excel, Outlook, etc.).
  • Strong written and verbal communication skills.
  • Excellent organizational skills with the ability to prioritize tasks effectively.
  • Strong customer service skills and ability to be resourceful and proactive.
  • Ability to lift up to 25 pounds and regularly stoop, kneel, bend, and crouch.
  • Ability to work well in a team-oriented environment.
