We are seeking a professional and customer-focused Office Services Administrator to join our team in Bellevue, WA. This role will be the first point of contact for guests, ensuring a welcoming and professional environment at the front desk while also managing various office services functions. The ideal candidate will have a strong attention to detail, excellent organizational skills, and a proactive approach to administrative support.
Key Responsibilities: Front Desk & Guest Services
- Serve as the primary front desk representative, welcoming all visitors and ensuring a positive first impression.
- Manage phone lines in coordination with other offices, handling inquiries and directing calls as needed.
- Provide a high level of customer service to both internal employees and external visitors.
Office Services & Facilities Management
- Oversee and maintain the organization and upkeep of conference rooms, pantries, convenience areas, and common office spaces.
- Handle copy, print, scan, and mail requests efficiently and accurately.
- Manage office supply inventory and coordinate replenishment as needed.
- Ensure office equipment is maintained and in working condition, coordinating service requests when necessary.
Administrative & Operational Support
- Assist with administrative tasks such as processing expenses, coordinating catering, and supporting special projects.
- Maintain accurate records and manage volume capture for reporting and operational efficiency.
- Update and manage the Site Operations Manual, ensuring compliance with company policies and procedures.
- Keep communication boards, binders, and checklists up to date to streamline workflow.
- Support cross-training initiatives to enhance team collaboration and skill development.
Client Relations & Service Excellence
- Foster strong client relationships through scheduled and ad hoc operational meetings.
- Respond promptly to requests, inquiries, and issue resolution to ensure 100% client satisfaction.
- Promote and uphold industry standards, best practices, and company policies in all service areas.
- Work closely with the Portland office to ensure seamless operations and consistency across locations.
Qualifications & Skills:
- 2 years of experience in office administration, office services, or a related role.
- Strong interpersonal and communication skills with a customer-first mindset.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and general office equipment.
- Ability to multitask and manage priorities in a fast-paced environment.
- Highly organized, detail-oriented, and proactive in problem-solving.
- Ability to foster a positive and cooperative work environment, maximizing productivity and team morale.
