Job Description: Assistant Property Manager
Reports to: Property Manager
The Assistant Property Manager assists in overseeing the day-to-day operations of assigned properties, ensuring optimal tenant satisfaction, property maintenance, and financial performance. This role requires a combination of administrative, customer service, and organizational skills.
MAJOR FUNCTIONS OF THIS JOB INCLUDE:
Tenant Relations:
- Respond promptly to tenant inquiries, concerns, and requests.
- Conduct regular communication and follow-ups to ensure tenant satisfaction.
- Address and resolve tenant issues and complaints in a timely and professional manner. Escalate issues to the Property Manager as needed.
- Keep detailed records of tenant interactions.
Leasing and Marketing:
- Respond to all leads and follow up according to FPS policies and deadlines.
- Coordinate and oversee the leasing process, including property tours, application processing, and lease documentation.
- Assist in preparing and enforcing lease agreements.
- Screen and process rental applications in accordance with company policies, seeking approval from Property or Regional Manager.
- Maintain accurate and up-to-date lease records and tenant information.
Property Maintenance:
- Coordinate and schedule routine maintenance and repairs.
- Assist with curb appeal and safety of the property by immediately reporting any issues observed to the Property Manager.
Financial Management:
- Collect and record rent payments. Swiftly take action for any delinquent account in accordance with FPS policies, under the direction of the Property Manager.
- Ensure accounts receivable for the property are turned into Accounts Payable Specialist daily, provide AP with all information needed to pay invoices, and reconcile and accrue for invoices as needed each month. Ultimate AP oversight is the responsibility of the Property Manager.
Administrative Support:
- Maintain organized and detailed property records, including contracts, invoices, and correspondence.
- Assist in the preparation of reports and presentations for property owners and management.
Legal Compliance:
- Stay informed about and ensure compliance with local, state, and federal housing laws and regulations.
- Prepare and execute lease agreements and renewals.
Vendor and Contractor Management:
- Collaborate with contractors and vendors for property services.
Emergency Response:
- Act as a point of contact for property emergencies.
- Coordinate and implement emergency response procedures.
Community Engagement:
- Assist Property Manager with the organization of events and activities.
- Establish and maintain positive relationships with all residents.
Technology Utilization:
- Utilize property management software and technology tools to streamline operations, track leasing activities, and manage financial transactions.
ADDITIONAL ELEMENTS OF JOB:
- Certifications and Licensing: Possession of relevant certifications in compliance with local and state regulations.
- Crisis Management: Ability to effectively handle crisis situations, such as emergencies or tenant conflicts, with composure and efficiency.
- Market Analysis: Experience in conducting market analysis to determine competitive rental rates and adjust leasing strategies accordingly.
- May be requested to travel to other assets to train and/or assist with maintenance needs.
- May be requested to fill in as acting manager in the absence of Property Manager.
QUALIFICATIONS:
- Proven experience in property management or a related field.
- Knowledge of local housing laws and regulations.
- Strong communication, negotiation, and interpersonal skills.
- Excellent organizational and multitasking abilities.
