Summary:

The Service Coordinator will assist with the daily tasks of the Process Service Department providing a high level of care to our clients as well as strengthen relationships with the process servers that we work with.

Essential Responsibilities:

  • Schedule process service jobs within our system
  • Assign jobs to contract servers, clearly communicating expectations and requests/directions
  • Follow-up on jobs with servers and proactively provide status updates regularly to clients, ensuring job completion in a timely manner
  • Review documents received are correct and thorough
  • Provide service options to clients as needed
  • Go to the local court to file papers and other similar tasks as they arise
  • Provide accurate quotes upon request and bill jobs upon completion
  • Clearly and respectfully communicate with the team, colleagues, and external contacts, ensuring bases are covered
  • Recruit new servers to our roster
  • Answer and direct phone calls
  • Provide backup and support to other departments when requested
  • Perform other duties as needed or assigned

Qualifications:

  • Proven experience working in an office setting
  • Data-entry
  • High level of organization, attention to detail, problem solving, critical thinking, prioritization, and recollection
  • Manage a high volume of email and phone calls in a professional and timely manner
  • Make judgement calls based on the information at hand utilizing support staff as needed
  • The ability to work well under deadlines and sometimes pressure
  • Flexible, adaptable, personable, and service-oriented
  • Excellent grammar and writing skills
  • Knowledge of office management systems and procedures
  • Working knowledge of office equipment, i.e., printers and scanners
  • Proficiency in MS Office Suite

Educational Experience: High School diploma or GED required

Physical Requirements:

· Office environment

· Standing and sitting for extended periods of time

· Able to lift 25 lbs.

Travel Requirements: Minimal travel is required

Hiring Process: We will schedule a phone interview that should take 15-30 minutes. Should we both wish to move forward, we would invite you to our office for an in-person interview. You should allow for at least an hour.

Attire: Business casual, dress pants and shirt (collared or blouse; no t-shirts or sportswear), dress shoes.

Job Type: Full-time, position will start at 9am-5:30pm, but once fully trained, it will change to 9:30am to 6-6:30pm, sometimes slightly later.

Work Location: In-person, at our lovely office downtown Grand Rapids

Expected hours: Approx. 40 per week

Time off: Nine paid holidays and two weeks paid annually with up to 40 hours roll-over

Parking: Paid

Job Type: Full-time

Pay: $17.00 - $19.00 per hour
