Administrative full-time support position responsible for facilitating and tracking communications from the inception of a project to its closeout, and overall administrative support for the Architecture Studio.
Role requires performing and completing general and specific task assignments from multiple Client Managers, Project Architects / Managers, Project Captains, Designers and Specialists in a thorough, accurate and timely manner consistent with company's established standards and procedures. Role further requires effective multi-tasking, communication, and organizational skills.
Because all projects are assigned to one of 6 Client Managers and the rest of the Architecture staff works under the Client Managers, each PA will be required to handle the project load for 2-4 CM’s.
Tasks include, but are not limited to :
- Interface with Accounting and Corporate Administrator to set up new projects, phases and tasks
- Prepare Owner / Architect Agreements, Architect / Consultant Agreements and Change of Scope Agreements from boilerplate draft agreements as required.
- Manage all inter-office package delivery and correspondence, both physical and electronic
- Facilitate and manage a variety of construction administration software programs for the purpose of submittal and RFI distribution, construction drawing issuances, and other various construction period services related tasks.
- Transmit materials via courier, FedEx, UPS, USPS as directed
- Participate in company's administrative meetings and adhere to established standards
- Provide support as directed, including providing coverage for other PA’s and front desk receptionist, if necessary
- Coordinate travel arrangements Architecture staff – Enterprise, hotel reservations, airline reservations, conference registrations, etc.
- Receive calls / emails for Client Managers
- Submit expense reports to Accounting Department on behalf of Client Managers
- General filing and department organization
- Coordinate schedules and meeting requests for CM’s
- Coordinate with Consulting Engineers on outstanding submittal / RFI’s, etc.
- Coordinate with Authorities Having Jurisdiction on local project permitting requirements, plan review comments, etc.
- Coordinate printing, assemblage, signing, sealing / stamping of issuances of construction document sets, both in print and via digital submittals.
- Archive project emails to project-specific email inboxes.
