Summary of Role
The office assistant position is a critical and important role within our small family business. Working directly with the owners, this position will be our administrative partner in servicing clients and maintaining administrative efficiency and organization. The role is hybrid – roughly two thirds will be spend working on Forward Nevada activities and one third as an administrative assistant to the owners.

Job Duties & Responsibilities
· Carefully manage the daily inflow and outflow of mail through daily receipt or pick-up of mail and packages from USPS and major carriers, daily mail and package sorting, posting, preparing and forwarding mail and packages
· Provide exceptional, individual customer care through a clear knowledge and familiarity with customer base and accurate, consistent managing and updating of CRM, email and phone correspondence, and handling customer issues and concerns
· Create and manage policies, processes, and systems for the smooth operation of business including setting up and utilizing needed software
· Maintain a detailed understanding and work well with USPS and major carriers, including managing and maintaining our CMRA and Nevada SOS good standing
· Maintain and manage all client and business records digitally and in hard copy, including all CMRA and registered agent paperwork and reporting
· Run business errands including travel to USPS or major carriers (UPS, FedEx, etc.), bank, office supply stores, etc.
· Perform billing and basic accounting functions including maintenance of client accounting, invoicing, payment processing and postage records
· Manage leads and establish new customer accounts according to company process
· Mail forwarding client communications support including follow up calls, reminders, scheduling with clients/prospects
· Creating systems and processes including understanding and utilizing software for efficient operations, creating workflows and office systems and researching software and online administrative solutions
· Work with the owner and outside vendors to oversee website and digital marketing activities including website updates, AdWords campaign and social meeting postings
· Other business responsibilities as appropriate
Administrative Assistant Duties
· Maintain and coordinate owner’s calendar and scheduling activities
· Provide administrative support in our consulting activities, including drafting meeting recaps and reports, and meeting material creation and preparation
· Online reporting and assessment administration including inviting, coordinating, and following up on online assessments and emailing reports
· Marketing and business development support activities including drafting of client/prospect emails, managing of CRM, website and blog posting
· Client communications support including follow up calls, reminders, scheduling with clients/prospects
· Creating systems and processes including understanding and utilizing software for efficient operations, creating work flows and office systems and researching software and online administrative solutions

Compensation and Position Details
· Base salary – $40-45,000 depending on experience and qualifications
· Performance based bonuses to be paid one to two times per year
· Profit sharing/pension plan with employer contribution after vesting period
· PPO health insurance plan with Sierra Health and Life
· Full time - business hours M-F
· On site – 2780 South Jones Boulevard
· Bank of PTO days (24 days) provided and can be used at the employee’s discretion for holidays, sick days and vacation

Pay: $40,000.00 - $45,000.00 per year
