We are seeking a highly organized and detail-oriented Office Administrative Assistant to support our HR and Office Manager in overseeing daily office operations and ensuring administrative efficiency. This role is essential in maintaining a well-structured, professional workplace while also assisting with company events, IT coordination, and providing support on select HR-related tasks.

Schedule: Monday - Friday 8:30 AM – 5:00 PM

Key Responsibilities

Office Administration & Support

  • Manage office supplies, inventory, and vendor coordination across multiple office locations.
  • Ensure office spaces are well-maintained, organized, and presentable.
  • Assist with office technology management, coordinate IT support, and troubleshoot basic issues.
  • Help maintain and update phone systems, office directories, and key card access.
  • Assist with purchasing and restocking break room and cleaning supplies.

Company Event Coordination

  • Assist in planning and executing company-wide events, including employee celebrations and corporate gatherings.
  • Organize monthly team lunches to recognize birthdays, anniversaries, and new hires.
  • Coordinate and distribute employee gifts, awards, and other recognition items.

HR Support & Employee Assistance

  • Assist with employee onboarding logistics, including scheduling orientations and preparing materials.
  • Maintain accurate employee records and ensure proper digital file organization.
  • Provide administrative support for HR communications, employee appreciation initiatives, and internal office updates.
  • Serve as a resource for general employee inquiries, directing them to the appropriate departments as needed.

Qualifications & Skills

  • Exceptional organizational skills with the ability to manage multiple priorities efficiently.
  • Strong verbal and written communication skills.
  • Proficiency in Microsoft Office Suite (Word and Excel), Google Workspace (G Suite), and other general office software.
  • Ability to handle sensitive information with discretion and professionalism.
  • Prior experience in administrative support, office coordination, or event planning preferred.
  • Basic IT troubleshooting skills and the ability to coordinate with IT support.
  • A proactive, positive attitude with a strong commitment to contributing to a team-oriented environment.

Job Type: Full-time

Pay: $18.00 - $20.00 per hour

Expected hours: 40 per week
