What are the responsibilities and job description for the Assistant Project Manager position at Fox Construction, Inc.?
SUMMARY: To assist in the coordination, supervision, and communication of all aspects and functions of the building process, supporting the Estimator/Project Manager throughout the estimating/bid process and the project lifecycle, including preconstruction, construction, and post-construction phases.
ESTIMATING/BID – Assisting the Estimator and Project Manager: Working with Project Manager, responsible for assisting with the coordination and calculation of the project estimate(s) and/or budget including:
- Aid in the preparation and distribution of bid documents and required materials, including bid requirements, tax-exempt status, scope letters, and subcontractor bid lists.
- Help ensure that all necessary bid submission items are completed, including obtaining the bid bond and fulfilling any other necessary requirements.
- Assist in the analysis of subcontractor and vendor bids to ensure completeness and accuracy.
- Support the preparation of conceptual, design development, and construction documents for estimates and budgets. Assist in publishing subcontractor bid results and tracking the progress of bidding activities.
- Support any other estimating or bidding-related tasks requested by Fox Construction management.
PRECONSTRUCTION – Assisting with Coordination and Preparations:
- Help organize design/build interviews and coordination meetings, supporting communication between the team and the client.
- Assist in acquiring the building permit and addressing any building department corrections in collaboration with the architect and the Fox Construction team.
- Review final plans for any discrepancies or changes from bid plans and help make necessary adjustments.
- Assist with contract preparations, including obtaining the notice to proceed, coordinating job start dates, and helping with cash flow projections when necessary.
- Ensure all necessary job site requirements are in place, including monitoring safety and hazardous chemical programs, ADA compliance, and other job site controls.
- Help in communicating job site requirements to the working foreman, including construction schedules, mobilization, and project startup processes.
- Prepare and distribute the subcontractor list, letters of intent, subcontracts, and purchase agreements, while also ensuring the schedule is communicated.
- Assist with cost control data and project budget management and ensure all accounting details are communicated with the team.
- Facilitate preconstruction meetings with necessary participants.
- Support any additional preconstruction tasks as required by Fox Construction management.
CONSTRUCTION – Supporting Day-to-Day On-Site Operations:
- Assist the working foreman with daily tasks, ensuring all employees, subcontractors, and visitors adhere to Fox Construction policies and safety protocols.
- Help monitor job site safety, ensuring compliance with OSHA regulations, and assist with weekly safety inspections.
- Review daily reports, work orders, material receipts, and schedules to help the foreman ensure that work is progressing as planned.
CONSTRUCTION – Supporting Day-to-Day On-Site Operations: (Continued)
- Assist with communication between the team, architect, engineer, management, and clients, and help prepare project updates and other reports.
- Help organize and coordinate O.A.C. meetings and weekly subcontractor meetings.
- Support the procurement of materials, including ordering items with long lead times and ensuring timely delivery.
- Assist in preparing subcontracts, verifying pricing for changes, and ensuring subcontractor performance meets the required standards.
- Ensure that the construction work is of the expected quality, and help maintain a punch list for unresolved issues.
- Support the pay application/draw process to ensure that invoices are accurate and complete, including prime change orders.
- Assist with any additional construction-related tasks as directed by Fox Construction management.related or problem items are communicated to Fox Construction management.
POST -CONSTRUCTION – Ensuring Project Completion and Client Transition:
- Assist in coordinating the completion of punch list items and the demobilization of construction equipment and tools.
- Help schedule and document training for the client on systems used in the project, review the owner’s manuals, and ensure the preparation of as-built drawings.
- Support the review of subcontractor work completion, invoicing, and necessary documentation before final payment is released.
- Assist in warranty work coordination and participate in the one-year walk-through with the client and Fox Construction management.
- Help coordinate post-project reviews with management and the project team.
POSITION TYPE – Full-Time during business hours as defined by Fox Construction.
TRAVEL – Travel to and from jobsites in Routt, Moffat and Jackson counties. Other travel as requested by Fox Construction management.
QUALIFICATIONS –
- Education – A minimum of a 4-year college degree in a construction-related field is required. Proficiency in English (speaking, reading, and writing) is required. Ability to speak Spanish is desirable.
- Basic knowledge of construction project estimating, processes, and construction management.
- Physical requirements include standing, sitting, kneeling, walking, lifting, and carrying up to 50 pounds.
- Ability to work in various outdoor weather conditions, year-round.
- Ability to work both independently and as part of a team.
- At least 3-5 years of relevant construction experience or a combination of education and experience in project management support roles.
