Job Summary
We are seeking a detail-oriented and proactive Administrative Coordinator to join our team. The ideal candidate will possess strong organizational skills. The Administrative Coordinator provides support for the Franciscan Sisters of the Poor Congregational and Local Leadership and Sisters. Coordinates and executes work, projects and events. Prepares, distributes, retains materials and files. Manages time-sensitive needs and highly confidential materials relating to legal and administrative functions of the Congregation. Safeguards the confidentiality of information in all aspects of daily duties. This position requires a blend of administrative expertise and interpersonal skills to effectively manage various tasks and assist team members.
Duties
Coordinates and executes work as needed/requested by SFP Congregational and Local Leadership (Leadership)
- Receives and distributes Congregational communications and information to US Sisters and Associates.
- Serves on and may facilitate/coordinate the meetings/work of committees and teams as requested. Takes/distributes minutes and materials as appropriate. Completes work related to committee initiatives. Coordinates and/or participates in efforts to organize and implement committee initiatives, activities and events.
- Researches, prepares, composes, edits, proofreads and maintains documents and work material for Leadership, Sisters and others.
- Systematically maintains work-related files and materials; forwards to Archives as appropriate.
* Provides support for US Membership residing on St. Clare Campus
- Provides practical support for Sisters by serving as a contact and providing information and responses to questions and requests. Updates, maintains, and safeguards Sisters’ personal records, files and essential life information forms. May provide assistance related to other needs such as arranging travel and maintaining a driver’s license.
- Provides spiritual and social support for Sisters by coordinating and/or participating in all aspects of the planning and execution of activities, events, celebrations, special services, retreats, jubilees and funerals. Assists with the coordination of Masses, Communion services and other liturgical matters as needed.
- Works with Local Ministers to ensure the ongoing spiritual life and formation of the sisters including retreats, gatherings and liturgical/sacramental life according to the Congregational Pastoral Plan
- Works collaboratively with the Associate Director in coordinating gatherings and events in support of the ongoing life of the Associate Relationship.
· Oversees the Wedding Ministry and the position of Wedding Coordinator. Assists with weddings as needed. Interfaces with the Archdiocese of Cincinnati personnel, ministers, wedding party or vendors/service provided as needed or requested by Wedding Coordinator.
· Oversees the work of the Administrative Assistant, and covers position as needed including:
- Answer main phone line and redirecting calls appropriately.
- Answer the main door and escorts guests/visitors as appropriate. Appropriately handle outgoing and incoming mail, packages and deliveries.
- Create, post and distribute calendars, notifications and postings for events and activities.
- Schedules reservations/use of meeting and gathering spaces. Assists with the coordination of overnight accommodations for guests.
· Oversee and supports the information technology and related communication needs of US sisters and employees.
· Initiates, maintains and monitors renewal dates for leases, contracts and service agreements related to areas of responsibility. Reviews all documents with Campus Administrator for signature or further review with Congregational Leadership.
· Participates in the development and implementation of annual budgets for areas of responsibility. Monitors expenses and seeks to identify cost saving measures.
- Qualifications
- Associate degree in business administration or comparable field
- 3 -5 years of administrative or executive support experience.
- Strong attention to detail and accuracy.
- Proficiency in computer literacy, including Microsoft Office Suite (Word, Excel, PowerPoint).
- Excellent organizational skills with the ability to prioritize tasks effectively.
- Strong communication skills, both verbal and written, to interact with staff and Sisters professionally.
- Ability to work independently as well as part of a team in a fast-paced environment.
