A mid-size law firm in metro Phoenix, AZ is seeking a Director of Administration to lead the operational functions of our firm. This key leadership role oversees office management, finance, human resources, IT, and marketing, ensuring the firm runs efficiently while maintaining compliance with financial, legal, and regulatory standards.
Reporting directly to the Managing Partner, you will be responsible for the firm’s daily operations, optimizing processes, managing resources, and supporting the firm’s long-term success.

Responsibilities:
Office & Facilities Management
- Oversee the renewal and administration of all insurance policies, including General Business, Professional Liability, Workers' Compensation, and Cyber Liability.
- Act as the primary liaison with the Property Management Company to maintain office standards.
- Manage relationships with outside vendors to ensure office operations run smoothly.
- Work with brokers on lease negotiations and extensions as needed.
Finance & Accounting
- Ensure compliance with generally accepted accounting principles (GAAP), financial standards, and internal controls.
- Process payroll, 401(k) contributions, and employee insurance payments.
- Maintain relationships with the firm’s financial institution to optimize cash management.
- Collaborate with equity partners to review accounts receivable and unbilled work to maximize collections.
- Serve as a backup for the Accounting Manager on billing and financial reporting.
Human Resources
- Oversee all HR functions, including hiring, performance management, annual reviews, salary adjustments, and employee relations.
- Maintain and update the Employee Handbook to ensure compliance with legal regulations.
- Manage renewals and administration of employee benefits, including health, dental, life, and disability insurance.
- Conduct new hire orientations and maintain employee documentation.
- Oversee parking assignments and building security updates.
IT & Software Management
- Work with IT support to ensure the firm’s technology infrastructure operates efficiently.
- Manage procurement of computers, monitors, scanners, and other hardware.
- Oversee phone system setup and maintenance.
- Administer and train staff on Office 365, legal software (PerfectLaw, Compulaw, Westlaw), and other key applications.
Marketing & Business Development
- Collaborate with attorneys and external marketing professionals to ensure compliance with legal advertising regulations.
- Manage firm communications, including website updates, social media, and email marketing campaigns.
- Organize firm-sponsored events, community service initiatives, and team-building activities.
- Oversee the firm's holiday card project and other branding initiatives.
Qualifications:
- Bachelor's degree in Business Administration, Finance, Human Resources, or a related field (preferred).
- 5 years of experience in law firm administration or a similar professional services environment.
- Strong knowledge of HR best practices, accounting principles, and IT management.
- Excellent leadership, problem-solving, and organizational skills.
- Proficiency in Microsoft Office 365 and legal practice management software.
This role requires a proactive, strategic thinker who can manage multiple operational areas while ensuring the firm’s efficiency and success.
