Summary
The Executive Assistant to the CEO will work closely with the CEO, senior leadership, and the board of directors, to ensure effective execution of tasks and strategic initiatives.
Responsibilities
- Serve as primary point of contact for CEO, manage communications, calendar, travel arrangements, etc.
- Manage/maintain CEO’s calendar, travel arrangements, represent the CEO’s office with internal/external stakeholders.
- Serve as the main administrative point of contact for the Board of Directors, scheduling meetings, preparing, and distributing materials, and being responsive to their needs.
- Take minutes at Board meetings and ensure timely follow-ups of action items.
- Maintain the Board data portal, ensuring it is up to date and accessible.
- Provide support for key organizational events
- Handle ad hoc projects and assignments as needed
- Implement efficient systems for tracking and managing correspondence, reports, and documentation.
- Maintain office supplies, and services to ensure smooth operations.
- Ensure records management practices comply with organizational policies and legal requirements.
- Supervise receptionist
Qualifications
- Prior experience as an Executive Assistant, ideally supporting C-suite executives, or in similar administrative role.
- Highly skilled in calendar management and travel coordination.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams, etc.)
- Proven ability to maintain confidentiality and handle sensitive information with discretion.
- Bachelor’s degree
- Familiarity with nonprofit governance and donor management software (e.g., Raiser’s Edge) is a plus.
- Flexibility to work occasional evenings and weekends, as required.
Salary : $75,000 - $100,000
