The Senior Executive Administrator provides executive support to the Executive Leadership Team, and direct support to the President and Chief Executive Officer (CEO) and the Vice President and Chief Operating Officer (COO). They serve as the primary contact for internal and external constituencies on all matters pertaining to each office.
The Senior Executive Administrator serves as the liaison to the Board of Directors and Executive and Senior Leadership teams. They organize and coordinate executive outreach and external relations efforts and oversee special projects. This position is Full Time, Exempt Salary.

CEO/COO Support
Responsible for managing external relationships, outreach efforts and help maintain relationships with community partners, funders, vendors as directed by the CEO & COO.Supports strategic initiatives and special projects as directed by the CEO & COO. Partners with senior leadership under the direction of the CEO & COO to define project scopes, milestones, deliverables and evaluation metrics. Supports operational and executive functions tied to high priority initiatives.Coordinates and supports schedules, arranges appointments, travel, meetings, conference calls, etc. Attends ELT and Senior Director meetings, creates agendas, and responsible for all pre and post communication to pertinent groups. Prepares and edits all correspondence, reports, and presentations originating from the ELT.Supervises and supports a small team providing guidance, mentorship, and performance feedback to ensure alignment with organizational goals.Board of Directors and Committee Support
Coordinate and provide support to the President and CEO and Board members at meetings, including but not limited to regular and special board meetings.Plan, schedule, and coordinate special events on behalf of the Board of Directors, to include summer and holiday socials.Attend Board meetings, take minutes, create packets to include pre-read materials, and provide meals and setup for meetings.Maintain Board and Board Committee meeting schedules and reserve meeting rooms for Board and Committee meetings.Correspond meeting notices and agendas to Board and Committee members.Update and maintain Board members personal data for the Board Roster.Update and distribute prospective Board member packets for vote.Set up yearly calendar for Board and Committee meetings and provide copies for Board and Committee members.Foundation Board of Directors Support
Attend and take minutes at Foundation Board meetings.Schedule room reservations for Foundation Board meetings to be held offsite.Maintain Foundation Board roster and terms.Correspond with Foundation Board of Directors for meetings and scheduled events.Create meeting packets to include pre-read materials.Other Duties

We require:
a.Education and Experience
Bachelor’s degree in Business Administration, Communications, or a related field is required.Minimum of 5 years of relevant experience and progressively responsible supporting executive leadership teams.Minimum of 3 years of professional experience in project management, non-profit operations, strategic planning or related field. Strong background in external relations, partnership development, or community engagement. Proven track record of handling confidential information with discretion. Extensive experience with databases and spreadsheet program.Demonstrated knowledge of MS365 Power Platform.b. Additional Requirements
Must satisfactorily pass criminal history check.Must satisfactorily pass tuberculosis (TB) test.Must have reliable transportation and a valid Washington State driver's license (or be able to obtain one by date of employment).Employees and volunteers who operate their own or Friends of Youth vehicles on Friends of Youth business, must have a safe driving record as defined by Friends of Youth. Employees and volunteers who operate their own vehicle(s) on Friends of Youth business must carry auto liability insurance that complies with the requirements of Friends of Youth. Must successfully complete the following health certification requirements within 30 days of employment: CPR, First Aid and Bloodborne Pathogens. Proof of COVID-19 vaccination is required. There are no exemptions.
