The Team

At Gates Ventures, our work supports Bill Gates’s contributions to the world of global health, clean energy/climate change, science, education, technology, and philanthropy. We are a small, collaborative organization and support each other across levels, teams, and workstreams.

The Role:

The Senior Executive Business Administrator for the Communications team will provide executive administrative support to the Chief Communications Officer (CCO) including administrative support to the communications team. Efficiency, attention to detail, flexibility, strong written and verbal communication skills, and problem-solving skills are essential for this role. The Senior Executive Business Administrator will have the ability to work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion.

Responsibilities:

  • Manage CCO’s calendar, including meeting prioritization, logistics, agendas, and preparation.
  • Proactively review upcoming weeks/months and support principals with planning, recognizing potential bottlenecks and making recommendations for how to best allocate time/make trade-offs when scheduling issues arise.
  • Coordinate domestic and international business travel including obtaining visas when needed.
  • Schedule and plan events, such as team meetings, which may include, preparing and disseminating materials.
  • Maintain organized files and records including a system for tracking, monitoring and prioritizing tasks and projects.
  • Manage invoices and expense reporting for CCO’s office.
  • Support special projects and company events.
  • Draft and facilitate select correspondence.
  • Other duties as required to facilitate smooth operation of CCO’s office.

Qualifications:

  • Bachelor’s degree or relevant experience.
  • 7-12 years of experience in executive level administrative support.
  • Demonstrated outstanding interpersonal and communications skills, including the ability to build relationships with stakeholders, including staff and external partners.
  • Stellar track record of working in dynamic, fast-paced environments, requiring attention to detail while maintaining focus on the big picture.
  • Flexible and adaptable in changing situations. Proactive ability to anticipate needs and address problems before they occur.
  • Demonstrated experience maintaining confidentiality and privacy in sensitive situations.
  • Able to work on several projects at a time with constant interruptions.
  • As with most high-level administrative support positions, some work will be required outside of normal office hours, including occasional evenings, weekends, and holidays. Travel may be required.
  • Positive, cooperative, and professional attitude even in stressful and time-sensitive situations.
  • Able to pass extensive background investigation.
  • Proficiency in Microsoft Office, particularly Outlook and OneNote, and general digital savvy.
  • Required to be in person at the Kirkland office.

COMPENSATION AND BENEFITS

The salary range for this position is $115,000-130,000. Starting salary offers will vary depending on a number of factors, including education, experience, and qualifications. Gates Ventures offers a comprehensive benefits package including medical, dental, vision, life, and disability insurance and a 401(k) program with employer match. Our benefits also include generous paid time off for vacation, sick leave, and holidays.
