Position/Job Summary

The Client Service Specialist will play a vital role in managing corporate-level databases, coordinating RFIs, and ensuring effective site and client communication. This position requires maintaining accurate data, providing timely responses to RFIs, and collaborating with internal teams to align responses with client needs. The role also involves supporting marketing efforts by creating and managing promotional materials, maintaining brand consistency, and assisting in the preparation of presentations and other client-facing documents.


Roles & Responsibilities

RFI Coordination:

  • Build, maintain, and organize corporate-level databases for sales, operational, and client data.
  • Conduct regular data audits to ensure accuracy, consistency, and reliability of information.
  • Develop and refine templates, workflows, and reports to enhance usability and support decision-making across departments.
  • Act as the first point of contact for incoming RFIs, providing initial responses and gathering information as required.
  • Maintain and update a centralized library of pre-approved RFI responses to streamline turnaround times.
  • Work closely with internal teams to ensure RFI responses align with client needs, project requirements, and corporate messaging.


Site and Client Communication:

  • Serve as a liaison for critical communications between operational teams and clients, including notifications of alert or critical values on patient's result.
  • Ensure timely notification of clients regarding important updates, milestones, or concerns related to projects and services.
  • Proactively address client inquiries, collaborating with internal teams to provide answers.


Additional Bio Admin Support:

  • Assist in creating, updating, and managing service promotional materials using tools such as Adobe Acrobat Pro, and other platforms.
  • Collaborate with marketing and sales teams to maintain brand consistency across all materials and client-facing documents.
  • Support the design and preparation of Bioadmin presentations, brochures, promotional content, and other materials as needed.

Education, Experience & Skills Required

Required:

  • Bachelor’s degree in science, business, marketing, or related fields, or equivalent work experience.
  • 1–3 years of experience in database management, marketing support, or RFI processes.
  • Proficiency with Adobe Acrobat Pro and Microsoft Office Suite.
  • Strong organizational and time management skills with attention to detail.


Preferred:

  • Experience in pharmaceutical, clinical, or laboratory industries is a plus.
