OFFICE MANAGER – PHYSICAL THERAPY CLINIC

About this role
As our Office Manager, you’ll be the first point of contact for our patients, ensuring they feel welcome and taken care of from check-in to check-out. Your main responsibilities will initially include:
- Greeting patients in a welcoming manner and making them feel at ease
- Benefit explanation for new patients
- Answering phone calls
- Checking patients in and out
- Point of service collections
- Overseeing calendar management, scheduling appointments, inservices/staff meetings and assurance that gaps in the schedule are filled
- Answering basic billing questions
- Managing new patient intake and paperwork
- Basic data entry with accuracy and attention to detail
- Supervise support staff, providing guidance and training as needed
- Implement office management procedures to enhance productivity and efficiency
- Ensure the office environment is well-maintained, stocked with necessary supplies and HIPAA compliant (protection of patient personal health information)
Growth & Training
You won’t be thrown into the deep end! Our current Office Manager will provide one month of intensive hands-on training with continued mentorship for up to six-months, gradually passing along responsibilities so you can confidently step into the role. After 6 months, you’ll take on additional duties, including:
- Verifying health insurance benefits
- Calling insurance companies to follow up on benefit verification and occasional billing inquiries
- Submitting insurance authorizations

Qualifications
- Clerical experience including data entry
- Outgoing personality
- Excellent customer service and phone etiquette
- Strong organizational skills with efficient time management, and the ability to prioritize tasks effectively
- Proficiency in computer software applications, including word processing and spreadsheet programs
- Familiarity with calendar management tools and data entry processes
- Strong proofreading skills to ensure accuracy in all written communication
- Background in office management or personal assistant roles preferred

Job Type: Full-time
Pay: $23.50 - $25.50 per hour
Expected hours: No more than 40 per week
