Proposal Coordinator
Position Summary
We are seeking a detail-oriented and proactive Proposal Coordinator to support our marketing and business development teams. Reporting to the Senior Marketing Manager , this role is integral in ensuring seamless proposal development and execution while maintaining brand consistency across marketing materials.
The ideal candidate will have strong written and verbal communication skills , the ability to manage multiple projects under tight deadlines , and a keen eye for accuracy and quality . This position requires someone who thrives independently and in a collaborative team environment , effectively balancing multiple priorities in a fast-paced setting.
Key Responsibilities
As a Proposal Coordinator, you will :
- Manage the proposal process from initiation to completion, including developing compliance matrices, schedules, and outlines.
- Collaborate with internal teams and sub-consultants to craft compelling and compliant proposal content.
- Develop and maintain proposal templates to improve efficiency and ensure brand alignment.
- Write and edit technical content , ensuring clarity, consistency, and persuasiveness.
- Coordinate and process inputs from multiple team members, weaving content into a cohesive, engaging narrative.
- Organize proposal reviews and status meetings , ensuring deadlines and quality standards are met.
- Prepare and format qualifications packages, RFIs, RFPs, and marketing materials aligned with brand guidelines.
- Support interview presentations and team preparations as needed.
- Manage a proposal tracking system , monitoring deadlines, submissions, and success metrics.
- Contribute to marketing initiatives , such as client events, award submittals, tradeshows, and social media engagement.
- Perform additional duties as assigned to support marketing and business development efforts.
